We agree an accuracy target during onboarding and measure it every week on an audited sample. The specialist checks their own batch, a second person checks a sample or every record depending on what the data is used for, and the team lead runs a monthly QA scorecard. Errors are traced back to the SOP and fixed at the source, so the same mistake does not appear twice.
Can you clear a backlog and then keep it clear?
Yes. Many clients start with a project: a fixed scope, a daily throughput target and a finish date. Once the backlog is gone the same specialist moves onto a part-time or full-time schedule to keep the queue empty. Because the person and the SOPs carry over, there is no second onboarding and no dip in accuracy when the work changes shape.
Which systems can the specialist work in?

Unreadable fields go into an exceptions list with the file name and page, and you or your team resolve them in one pass instead of finding wrong values months later. Where volume justifies it we set up OCR to pre-fill and the specialist verifies every field against the source.

Yes, on request. The group's second office runs shifts that overlap US evenings and nights, so a batch dropped at 6pm can be keyed, checked and logged before your team arrives. Daytime coverage in your own time zone is the default; overnight and split shifts are agreed in the staffing plan.
Do you use OCR or AI for data entry?
Where it helps. OCR and AI extraction are good at pre-filling structured fields from clean documents and poor at judgment calls, so we use them to speed up the first pass and keep a person on verification, exceptions and anything that touches money or a customer record. You always know which records were machine-assisted and which were keyed by hand.
