Why do Salesforce users need a virtual assistant?
A Salesforce org is only as good as the last person who updated it. Opportunities sit in Prospecting with no next step, leads from the website never get converted, activity history is empty because reps log calls in their heads, and the pipeline report your board sees is wrong by the second slide. Admins are busy with Flows, permission sets and release updates; they should not be doing data entry. Reps will not. That gap is where an assistant earns their keep. They work list views every morning, convert and route leads within your rules, update stage, amount and close date from rep notes, log activities, merge duplicates using the duplicate rules your admin set, and run the reports your managers open on Monday. Service Cloud teams use the same person for case triage and knowledge articles. Your org, your licenses, your governance.
What can a virtual assistant do inside Salesforce?
- Leads and conversion
- Qualifies web-to-lead and imported leads against your criteria, converts to account, contact and opportunity, and assigns by your territory or round-robin rules.
- Opportunities and stages
- Updates stage, amount, close date and next step from rep notes and emails, and flags opportunities with no activity past your stage limit.
- Accounts and contacts
- Merges duplicates with your duplicate and matching rules, fills required fields, and keeps parent-child account hierarchies correct.
- List views
- Works the list views you define each morning: unowned leads, stale opportunities, contacts with missing emails, cases past due.
- Reports and dashboards
- Runs and exports the weekly pipeline, activity and forecast reports, refreshes dashboards, and writes a short note on changes.
- Activities
- Logs calls, emails, meetings and tasks against the right record so activity history and Einstein Activity Capture tell a complete story.
- Cases (Service Cloud)
- Triages new cases, sets priority and queue, drafts replies from knowledge articles, and escalates by your case rules.
- Data imports
- Prepares clean CSVs, maps fields, and runs Data Import Wizard loads or supplies files for your admin's Data Loader jobs.
