How do you reduce no-shows?

Three habits. First, every booking gets a confirmation the same day. Second, reminder calls and texts go out on the schedule you approve, with lawful consent and do-not-call scrubbing, and anyone who cannot make it is rebooked on the spot instead of vanishing. Third, the waitlist is worked as soon as a slot opens so the gap is filled. The weekly review tracks the no-show rate by provider and appointment type, so you can see which changes are working.

What happens when a caller wants a time that is not available?

The scheduler offers the two nearest alternatives with the right provider, then the waitlist for the preferred time. If your playbook allows it, they can offer an earlier slot with a different provider or a shorter appointment type. Callers who decline everything are logged as unbooked with the reason, so the weekly review shows demand you are turning away and you can decide whether to open more slots or add capacity.

Do clients contact the scheduler directly to reschedule?

They can. Reschedules arrive by phone, reply to a confirmation text, email or web form, and the scheduler handles each within your notice-period rules: free moves outside the window, your deposit or fee policy inside it. The old slot is released to the waitlist immediately. Anything unusual, such as a client asking to waive a fee, is passed to you as a message rather than decided by the scheduler.
