Jobs and drivers dispatched, ETAs confirmed

AssistBPO's dispatch services give field teams and fleets a named, employed dispatcher who assigns jobs, confirms ETAs with customers, keeps drivers and technicians moving and updates your job board in real time. Trades and home-service companies run it inside ServiceTitan or Jobber; transport and NEMT fleets get the same desk delivered with TransportBPO, the group's ground transportation division.

What is a dispatch service?

A dispatch service is a staffed desk that receives job and ride requests, assigns them to the right technician or driver, sequences the day's route, confirms arrival windows with customers and handles the changes once crews are on the road: cancellations, delays, add-on jobs and emergencies. AssistBPO staffs it with a dedicated dispatcher who knows your crews and territory.

How does the dispatch desk work?

  1. Match

The discovery call maps your crews or drivers, their skills and territories, your job types and durations, your software and the hours the desk must run. Within 72 hours we propose a named dispatcher with field-service or fleet experience, plus a trained backup on the same territory notes.

  2. Onboard

We document your dispatch rules: who can do what, how far anyone drives, what counts as an emergency, how customers want to be updated and when to call you. The dispatcher gets a seat in ServiceTitan, Jobber, AxisCare or your fleet platform and shadows your current dispatcher or owner for a week of live days.

  3. Daily rhythm

The dispatcher builds or checks the day's routes before crews leave, confirms ETAs with customers, tracks check-ins, reshuffles as jobs run long or cancel, slots emergencies and chases completion paperwork. The end-of-day report shows jobs done, moved, still open and tomorrow's first stops.

  4. Weekly review

Twenty minutes with the team lead on jobs per crew, drive time, cancellations and their causes, customer complaints about timing and next week's capacity. Each month the team lead audits a sample of dispatch decisions and customer updates on the QA scorecard.

Hours, coverage and models

AssistBPO staffs the dispatch desk on 4 models. US Eastern to Pacific, UK and Australian Eastern hours from the group's two offices. Overnight fleet desks are staffed from the second office in Pakistan.

  • Dedicated dispatcher, 80 or 160 hours a month, in your operating hours
  • Early-start desk from 6am local so routes are set before crews leave
  • After-hours and weekend dispatch as an add-on
  • Fleet dispatch pod with TransportBPO for 24/7 transport operations

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.

How much does a dispatch desk cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

What moves the plan

  1. Hours a week and whether the desk is dedicated or shared
  2. Phones: live answering needs a receptionist profile and a backup
  3. Coverage zone: business hours, after-hours, weekends or 24/7
  4. Tools and access to set up
  5. One person or a pod with a lead

HVAC Company Stops Losing After-Hours Calls

A residential HVAC company in the US Midwest was losing its best calls to voicemail. Once the office closed at five, the phone rolled to a message, and on the first hard freeze or the first heat wave of the season the overnight queue filled with homeowners who then called the next company on the list. The on-call technician was answering his own cell between jobs and taking addresses on the back of a work order. AssistBPO put a named after-hours desk on the line with a trained backup and a team lead, working inside the company's own field service software. Calls are now answered by a person overnight and at weekends, triaged against a script the owner wrote, booked into the next available slot or escalated to the on-call technician by the rules the owner set. Storm nights get extra cover.

Frequently asked questions

How much do dispatch services cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, managed remote staff are published at $640 to $2,400 a month full time and US assistant pay averages $19.45 an hour on PayScale (via Wishup and Cherry Assistant, 2026), against the cost of pulling your best technician off the tools to run the board. AssistBPO prices a named dispatcher for a block of hours, with early-start and after-hours cover added as needed.

How can a remote dispatcher know my territory?

The same way a new in-house dispatcher does, but with a written map. Onboarding captures your service area by zone, typical drive times, which crews cover which zones, the customers with special access rules and the jobs that always run long. The dispatcher shadows your current board for a week, then runs it with your rules while you watch. Within a few weeks the dispatcher knows that the Tuesday route across the river needs an extra twenty minutes.

What happens when a job runs over or a technician calls in sick?

The dispatcher reshuffles by your rules: moves the next job to the nearest available crew, calls the affected customers with a new window before they call you, and slots anything that cannot be covered into tomorrow's first stops with a note. Emergencies take priority over routine work by the order you set. Every change is logged with the time and the reason, so the end-of-day report explains the day rather than hiding it.

Do you dispatch for fleets and NEMT operators?

Yes, with TransportBPO, the group's ground transportation division. Fleet dispatch, ride scheduling, driver check-ins, ETA calls to receivers or riders and trip paperwork run from the same desk model with staff trained on transport operations. NEMT and home-care dispatch is handled by HIPAA-trained staff under a BAA, with rider details limited to what the trip needs. Trucking and courier fleets can add an overnight desk from the second office in Pakistan.

Which dispatch software do you work in?

ServiceTitan, Jobber and Housecall Pro for trades; AxisCare for home care; the NEMT and fleet platforms TransportBPO already runs; plus RingCentral, Dialpad or Twilio for customer calls and texts, and Slack or Teams for crew chatter. The dispatcher works in a seat you create with the permissions you choose. If your board is a whiteboard and a group chat, we can run it that way while you decide on software.

Will customers be told before a crew arrives?

Yes, by call or text in the window you set, with lawful consent and do-not-call scrubbing for any text campaign. The standard pattern is a confirmation the day before, an on-the-way message when the crew leaves the previous stop, and a call if the window slips by more than the margin you allow. Fewer surprise arrivals means fewer wasted trips, and the weekly review tracks both.

Can the dispatcher also answer our main phone line?

For smaller operations, yes: one person answers the phone, books the job and dispatches it, which is how many owner-run companies already work. Once call volume or crew count grows, dispatch needs full attention and a separate receptionist takes the line so neither job suffers. The discovery call sizes it from your call and job counts, and the plan can split later.

Is it the same dispatcher every day?

Yes. One named dispatcher learns your crews, your customers and your territory, which is what makes dispatch fast. A trained backup covers leave and breaks using the same rules and territory notes, and a team lead runs the weekly review. Crews and customers deal with a voice they know, and the board is run the same way whoever is on shift.
