What is an appointment setting service?

An appointment setting service is outsourced outbound work where trained setters contact prospects by phone, email and message, qualify them against agreed criteria and book a meeting for your sales team. Good services work from consented or lawfully sourced lists, scrub against do-not-call registers, follow a script you approve and hand over a calendar booking with notes, so the rep walks into a conversation that has already started.

How does the appointment setting desk work?

  1. Match

A 20-minute discovery call on who you sell to, where the list comes from, what a qualified meeting means, your CRM and calendar setup and the markets you call into. Within 72 hours we propose a named setter with experience in your sector and an accent match for your prospects, plus a trained backup.

  2. Onboard

We write the script and objection guide with you, load and scrub the list, connect the dialer to your CRM and reps' calendars, set calling windows per market and run recorded practice calls until the team lead signs off. The first live campaign starts in week two.

  3. Daily rhythm

The setter works the list in permitted hours, logs every outcome in the CRM as it happens, books meetings with notes, sends confirmations for tomorrow and chases any no-shows from today. The end-of-day report shows dials, conversations, meetings booked and anything a rep needs to know before the morning.

  4. Weekly review

20 minutes with the team lead: meetings booked and held, conversation rate by list, objections heard most, script changes and next week's calling plan. Monthly, the team lead scores a random sample of recordings on the QA scorecard for script adherence, compliance and tone.

Hours, coverage and models

  • Part-time setter, 80 hours a month, for a single rep or founder-led sales
  • Setter pod of 3 to 6 with a team lead for multi-market campaigns

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.

How much does appointment setting cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

What moves the plan

  1. Hours a week and whether the desk is dedicated or shared
  2. Phones: live answering needs a receptionist profile and a backup
  3. Coverage zone: business hours, after-hours, weekends or 24/7
  4. Tools and access to set up
  5. One person or a pod with a lead

Real Estate Team Doubles Appointments with an ISA

A six-agent residential team in the US Southwest was buying portal leads every month and working them whenever showings allowed. Speed to lead depended on who was between appointments, which meant the best inquiries were often called hours later, if at all. The database of past clients and old inquiries had not been touched in a year. AssistBPO placed a named inside sales agent on the team, employed by the group, with a trained backup and a team lead, working in the team's own Follow Up Boss account and calling in local market hours including evenings. New leads are now called within minutes, qualified on timeline, price and motivation, and booked into the right agent's calendar by area. Between new leads the ISA works a written revival cadence on the old database.

Security and compliance

  1. Employed, background-checked setters under NDA; never freelancers calling in your name
  2. Prospect lists and recordings stay in your CRM and dialer; nothing is exported or kept locally
  3. Managed devices with MFA and a softphone only; no personal phones, no personal numbers
  4. Consent and do-not-call status logged per contact so every call can be justified later
  5. Card numbers and payment details are never taken by a setter; payment happens with your rep or portal

Frequently asked questions

How much do appointment setting services cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, 2026 cost guides put managed remote sales support at $7 to $15 an hour and $640 to $2,400 a month full time, while PayScale lists the average US virtual assistant at $19.45 an hour (Wishup, Cherry Assistant). AssistBPO prices per named setter for a block of hours rather than per meeting, so the setter has no reason to book meetings that will not show.

Where do the leads come from?

Three sources, in order of preference: your own lists of customers, past inquiries and consented leads; lists we build to your ideal customer profile through the lead generation desk, verified and scrubbed; or lists you buy from a reputable vendor with documented sourcing. Whatever the source, every list is scrubbed against do-not-call registers and your suppression list before the first dial, and consent status is logged in the CRM.

How do you stay compliant when calling into four countries?

Each market has its own rules and we build them into the dialer and the script. US: TCPA consent, calling between 8am and 9pm local, no autodialer to cells without consent, state mini-TCPAs and two-party recording notices. UK: PECR with TPS and CTPS screening and Ofcom persistent-misuse rules. Canada: CASL and CRTC rules with National DNCL scrubbing. Australia: the Do Not Call Register and the Telemarketing Standard. Consent logs and recordings are yours to audit.

What counts as a qualified meeting?

Whatever you define in onboarding, written down and scored. Most clients use a version of BANT: the right role, a real need, a rough budget or fit and a timeline, plus any deal-breakers such as company size or region. The setter records the answers in the CRM, and the weekly review checks how many booked meetings your reps agreed were qualified, so the bar moves up rather than down.

Will the setter sound like part of our team?

The setter introduces themselves with your company name, works from a script you approved and is matched for accent and pace to your prospect base during the 72-hour match. Every setter passes a phone and English assessment before joining a client desk, and recordings are scored monthly. Prospects hear your company, your value proposition and a person who can answer the first three questions.

Do you use email and SMS as well as calls?

Yes. Most campaigns run a short sequence: a call, a voicemail and an email the same day, a follow-up two days later and an SMS where consent allows. Emails carry your identity and an unsubscribe link under CAN-SPAM, PECR, CASL and the Spam Act, and SMS goes only to numbers with express consent. The sequence lives in your CRM so nothing is sent that you cannot see.

How do you handle no-shows?

A confirmation goes out the day before and a reminder an hour before where consent allows. If the prospect does not show, the setter calls and emails within the hour to rebook, up to the number of attempts you allow. Show rate is on the weekly review by list and by setter, and a low show rate on a particular list usually means the qualification questions need tightening.

How long before meetings start landing?

Discovery to a named proposal is 72 hours. Script, list scrubbing, dialer and calendar setup take the first week, practice calls are signed off by the team lead and live dialing starts in week two. First meetings typically book in the first live week; a steady weekly rate settles by week four once the script and list have been tuned in two weekly reviews.

Should we pay per appointment instead?

You can buy it that way elsewhere and it sounds like the safer deal. The catch is that it pays the setter for a booking rather than for a meeting your rep is glad to have taken, so the qualification bar drifts downward and the calendar fills with people who were never going to buy. Paying for a named setter's hours puts the incentive back on the definition you wrote in onboarding, and the weekly review checks how many booked meetings your reps agreed were qualified.

How is this different from hiring our own SDR?

A setter arrives with the parts a first SDR hire does not have: a trained backup who has read the same script, a team lead who scores recordings monthly, and the calling rules for each market already built into the dialer. What you give up is someone sitting in your sales meetings absorbing the product by osmosis, which is why onboarding writes the script, the objection guide and the qualification criteria down properly. The dedicated plan is sized for teams with two or more closers; founder-led sales usually starts on the part-time setter.

What if the campaign is not working after a month?

You change it or you stop it, and neither needs a negotiation. There is no minimum term to work out of: the plan runs month to month and thirty days notice ends it. The weekly review is the decision point. Conversation rate by list tells you whether the segment is wrong, show rate tells you whether the qualification questions are wrong, and the objection log tells you whether the offer is. Campaigns that look dead in week two are usually a list problem, so the first move is a new segment rather than a new setter.

What makes an outbound campaign fail?

Four things, in roughly the order we see them. A list that does not match the ideal customer profile, so the conversations happen with the wrong titles. A definition of qualified that nobody wrote down, so the setter and the reps argue after the fact. Reps who do not treat the handover as theirs, so meetings are not confirmed and the show rate falls. And a script that never changes, because the objection log was collected every day and then never read at the weekly review.
