Appointment setting services for law firms

AssistBPO's appointment setting services for law firms put a trained setter on the follow-up that converts an inquiry into a signed client. The web form that came in overnight, the chat that ended without a booking, the consult that was booked and not kept, and the referral a past client sent over.

How does appointment setting work for legal?

Every call, text and email goes out with lawful consent and do-not-call scrubbing, and only to people who contacted your firm first or were referred with their permission, because ABA Model Rule 7.3 and your state bar's rules restrict live solicitation of prospective clients. There is no cold list. The setter calls new inquiries within minutes, asks your screening questions, runs a quick conflict search, and books the consultation on the right attorney's calendar with the intake questionnaire sent ahead. Leads who do not answer receive a text and enter a follow-up cadence in Lawmatics, Clio Grow or your CRM until they book, decline or go quiet. Booked consults are confirmed the day before. The setter is an employee of the group with a backup, works the lead shift you choose, and reports inquiries, consults booked and shows each day.

What tasks does appointment setting cover for law firms?

  • Call new web, chat and phone inquiries within minutes with lawful consent
  • Scrub every number against the National Do Not Call Registry and your internal list
  • Screen with your practice-area questions and run a quick conflict search
  • Run follow-up cadences in Lawmatics or Clio Grow until booked or declined
  • Book consultations on the right attorney's calendar and send the questionnaire
  • Confirm consults the day before and rebook no-shows
  • Follow up on referrals from past clients and referral partners with their consent
  • Report inquiries, consults booked and shows each day by source

Consultations booked per 100 inquiries and the share that show, tracked by lead source so you can see which campaigns produce clients.

What rules does appointment setting follow for legal?

  1. Confidentiality under ABA Model Rule 1.6. Every assistant works under NDA and the confidentiality obligations your state bar extends to nonlawyer staff through ABA Model Rules 1.6 and 5.3, on a managed device with MFA and no local storage. Client files stay in your practice management system, and access runs through your own user accounts so you can revoke it in a minute.
  2. No legal advice, no unauthorized practice. Assistants never give legal advice, interpret a document for a client, set fees or predict outcomes. They do not sign or file anything where a license or attorney signature is required; filings are staged for the attorney to review and submit. Your state's unauthorized practice of law rules, enforced by the state bar or supreme court, draw the line and we stay on the admin side of it.
  3. State bar advertising rules for outreach. Follow-up emails, social posts and any contact with prospective clients follow ABA Model Rules 7.1 to 7.3 and your state bar's advertising rules: no misleading claims, no specialist claims without certification, required disclaimers and the firm's name on every message. There is no live solicitation of strangers; calls go only to people who contacted the firm first, with lawful consent and do-not-call scrubbing.
  4. Trust accounting stays with the firm. Assistants prepare billing entries and invoices but never move money in the IOLTA trust account, issue trust disbursements or reconcile trust ledgers. Trust accounting rules under your state bar remain the attorney's responsibility; we keep the time and billing records that feed them accurate.

Frequently asked questions

Does appointment setting break the solicitation rules?

Not the way we run it. ABA Model Rule 7.3 and your state bar restrict live solicitation of prospective clients, so the setter contacts only people who reached out to your firm first, through a form, a chat, a call or a permitted referral. Every contact goes out with lawful consent and do-not-call scrubbing, carries the firm's name, and avoids promises about outcomes. Written follow-ups carry any advertising disclaimer your state requires, and templates are approved by an attorney before use.

What screening questions will the setter ask?

Yours. During onboarding your team lead records the questions per practice area, such as date of incident, county, whether the caller has been served, whether another attorney is involved, and what outcome the caller wants. The setter asks them in order, runs a quick conflict search on the names, and books or declines by your criteria. The setter never gives an opinion on the merits, and callers who ask hear that the attorney will discuss it at the consult.

How do you handle no-shows and unresponsive leads?

A no-show is called the same day, offered the next available slot and confirmed again the day before. Leads who never answer get a short cadence in Lawmatics or Clio Grow, typically a call, a text and an email over ten days, then a closing message. Every text carries opt-out wording, and a stop request ends the cadence immediately. Leads that decline are marked with the reason so your reporting shows why inquiries do not convert.
