Why do RingCentral users need a virtual assistant?
RingCentral gives a small company a big-company phone system: multi-level IVR, call queues, recording, business SMS, analytics. What it does not give you is someone to answer. Calls hit the queue, ring three people who are already on calls, and land in a voicemail box that gets checked at lunch. The IVR still says the summer hours. The SMS number replies to nobody. And the admin portal is a place the owner visits once a year to add a user. An assistant makes the system worth what you pay for it. They sit in the queues from a softphone in your hours, answer in your name, take messages that reach the right person, warm-transfer with context, return every voicemail, reply to texts, and keep the menus, hours and greetings true. Your account, your numbers, your recordings; our person on the line.
What can a virtual assistant do inside RingCentral?
- Softphone and extension
- Works from the RingCentral desktop and mobile app on a dedicated extension you own, with presence set correctly, call park and call flip used when a caller needs to reach your team.
- Call queues
- Answers as a member of your queues in the order and hours you set, handles overflow rules and wait-time announcements with your admin, and returns every missed call within your callback window.
- Multi-level IVR and auto-receptionist
- Documents your IVR tree, keeps menu prompts, business hours, holiday greetings and after-hours routing accurate, and proposes changes in writing for your admin to approve.
- Warm transfers and messages
- Announces the caller and reason before completing a transfer, takes a written message when the person is unavailable and posts it to your team channel with a callback number and priority.
- Call recording
- Uses automatic or on-demand recording as your admin configured, plays the recording notice each country and US two-party consent state requires, and never records card details.
- Business SMS and MMS
- Replies to texts on your business number from approved templates, sends confirmations and follow-ups with lawful consent and do-not-call scrubbing, honors opt-outs and keeps your 10DLC campaign details on file.
- Voicemail and fax
- Triages voicemail-to-text transcriptions each morning, calls back in priority order, forwards inbound faxes to the right person and logs each one.
- Analytics and Live Reports
- Pulls answer rate, abandoned calls, average speed of answer and queue wait times weekly, adds a short note on what moved and flags the hours where coverage is thin.
