Access is logged and can be revoked at any time, and the assistant works on a managed device with MFA.
How does maintenance triage work?
During onboarding we write a triage sheet with you: what counts as an emergency (no heat in winter, no water, active leak, lockout, gas smell), what is urgent, and what is routine. Emergencies are dispatched from your approved vendor list immediately and you are notified. Urgent and routine work orders are assigned within your target, with the tenant told what to expect. The coordinator chases the vendor for completion and closes the order with the invoice matched.
Will assistants handle leasing calls without breaking Fair Housing rules?
Yes. Every prospect is given the same script: availability, rent, deposit, screening criteria, pet policy and how to apply. Assistants do not describe neighborhoods, comment on who lives in a building, or answer questions about schools or crime beyond pointing to public sources. Requests for reasonable accommodation are logged and passed to you. The script is reviewed against HUD guidance and your state rules during onboarding.
Can you process rental applications and screening?
We collect applications, verify completeness, order screening through your provider with the applicant's authorization, apply your written criteria, and present the result to you or your leasing manager for the decision. If you decline an applicant, we send the adverse action notice with the FCRA disclosures. We do not set criteria or make the decision, which keeps the process consistent and defensible.
Do you handle owner communication?
Yes. Owner statement questions are answered from the ledger, repair approvals are requested with the vendor quote and photos attached, and new owner onboarding collects the management agreement details, property information, keys, insurance and utility accounts. Owners with questions about strategy, rent pricing or selling are passed to you. Monthly owner updates go out on a schedule you set, in your name and your template.
What happens with after-hours emergencies?
Add the after-hours desk and emergency calls are answered by a person overnight and on weekends, triaged with your emergency sheet, dispatched to your on-call vendor, and escalated to your on-call manager by your rules. Non-emergencies are logged as work orders for the morning. Every after-hours call appears in the morning handover note with the action taken, the vendor dispatched and who was notified.
Are the assistants employees or freelancers?
Employees of the group, background-checked and under NDA, with a named backup trained on your portfolio and a team lead who runs the weekly review. You are not co-employing anyone.
