Real estate virtual assistant: 40 tasks agents hand off first: AssistBPO guide cover

Real estate virtual assistant tasks fall into five groups: transaction coordination, listing coordination, lead management, marketing and admin. Agents hand off transaction work first because it is deadline driven and rule based, then speed to lead, then listings. Here are all 40, with the tool each usually lives in.

Which tasks should an agent hand off first?

Sort by two questions: does it repeat, and does it need your license or your judgment? Transaction coordination repeats and needs neither, so it moves first. Pricing advice and negotiation repeat too, but they need both, so they stay. The middle ground is lead calling, which moves easily as long as the qualification rules are written down and the calling is compliant.

The order most agents land on: transactions, then lead follow-up, then listing prep, then marketing, then reporting. Marketing sits late because the assistant needs to know your market and your voice before writing in it.

Transaction coordination: what moves from contract to close?

6Chase HOA documents, disclosures and certificatesEmail, portalWeek 2
7Send the weekly status update to every partyEmail templateWeek 2
8Assemble the closing file and archive it to the brokerageShared driveWeek 3

This group alone is usually five to eight hours per transaction. It is also where a missed date costs real money, which is why a written checklist and a daily deadline report matter more here than anywhere else.

Listing coordination: what happens before and during a listing?

The seller report is the sleeper item. Sellers who get a dated weekly report with showings, feedback and online views call far less often, which quietly gives you back the time you spent producing it.

Lead management: what can an inside sales assistant run?

Two rules for this group. Write the qualification fields down and cap them at five, or the call becomes an interview. And make the compliance position explicit: all outbound calling and texting is done with lawful consent and do-not-call scrubbing, inside permitted hours, under the rules the FCC sets out in the US and the equivalent rules elsewhere. Put the consent source and date on the contact record so the caller can see why the number is callable.

Marketing: what can be handed over safely?

The dashboard is the one that changes how you run the week. Four numbers are usually enough: new leads, appointments set, appointments held, and transactions by stage. Once the assistant builds it every Monday, you stop guessing where the pipeline is.

What should an agent never hand off?

Five things stay with you, and every one of them is faster when the assistant has prepared the ground.

  • Pricing advice and the CMA conclusion. The assistant can pull the comps. The recommendation is yours.
  • Negotiation. The assistant can prepare the summary and the deadline list. The call is yours.
  • Showings and property access. Licensing rules and duty of care sit with you and your brokerage.
  • The client relationship at the milestones. Offer accepted, inspection issues, closing day. Those calls come from you.
  • Anything requiring your license or signature. An assistant prepares, you sign.

The pattern running through the whole list is the same: the assistant does the preparation and the follow-through, and you keep the moment where judgment or a license is required. Split that way, most agents recover close to a full working day a week without giving up a single client conversation that matters.

How do you start, and what does it cost?

Stage the hand-off over 30 days rather than all at once.

WeekHand offYour time in
1Transaction checklist, signatures, deadlines, inbox, calendar, speed to lead45 minutes a day
2Title and lender coordination, status updates, follow-up cadence, appointment confirmations30 minutes a day
3Listing prep, MLS loading, showings and feedback, expenses20 minutes a day
4Seller reports, marketing calendar, database reactivation, vendor listWeekly review

On cost, price the hours you actually found in the tables above rather than a headline rate. PayScale puts US assistants at $19.45 an hour and Indeed at $27.15, while the Wishup 2026 cost guide puts managed assistants at $7 to $15 an hour, or $640 to $2,400 a month full time. If your assistant will also answer the office line, compare that against answering plans too: OnceHub’s September 2026 roundup puts human plans at roughly $235 a month for 50 minutes up to $1,095 for 500 minutes.

The short version: hand off transactions first, speed to lead second, listings third, marketing last. Write the checklist before you write the job description, and keep the license work with the license holder.

Frequently asked questions

What does a real estate virtual assistant actually do?

Five things, in most teams. They coordinate transactions from contract to close, prepare and maintain listings, call and follow up leads, run the marketing calendar, and handle inbox, calendar and CRM admin. They do not show property, negotiate or advise on price. The practical test is whether the task is deadline driven and rule based. If it is, it can move; if it needs your license or your judgment, it stays with you.

Which real estate tasks should I hand off first?

Transaction coordination, because the deadlines are fixed, the checklist is the same every time and the cost of missing something is high. Speed to lead comes second: a new inquiry called back within minutes converts far better than one called back the next day, and that is pure process. Listing prep is third. Marketing and reporting come last, once the assistant knows your voice and your market.

Can a virtual assistant work in my MLS and CRM?

Usually yes, with the right access. Most MLS boards allow assistant accounts under an agent or broker, with rules that vary by board, so check yours before you set anything up. CRM access is simpler: create a named user in Follow Up Boss, kvCORE or whatever you run, rather than sharing your login. Transaction platforms such as dotloop have built-in roles for coordinators.

Can an assistant call my old database?

Only where you hold lawful consent and the list has been scrubbed against do-not-call registries, within permitted calling hours, with proper identification. In the US that means the FCC and FTC rules, in Canada CASL and the National DNCL, in the UK TPS and CTPS screening, in Australia Do Not Call Register washing. Put the consent source and date on the record so the caller can see it.

How many hours a week does this take?

As a rough shape, a solo agent doing three to five transactions a month usually finds 15 to 20 hours a week of the work below. A small team with a listing pipeline and active lead generation finds a full-time role quickly, often split into a transaction coordinator and an inside sales assistant. Run the task list against your own week before you decide the hours.

Should I hire one assistant or two?

Start with one and split when the calendar forces it. Transaction work is reactive and deadline driven; lead calling is proactive and time blocked. One person doing both will always drop the calls when a closing heats up. Most teams split at around 8 to 10 transactions a month or once inbound lead volume passes roughly 40 a week, whichever comes first.
