Can you keep our existing phone number?
Yes. We connect a softphone to your existing number through your provider, such as RingCentral, Dialpad, Aircall or Zoom Phone, or you forward calls to a number we provision. Your published number does not change, callers hear your company name, and you can change routing rules or take calls back in-house at any time. Call recordings and logs stay in your phone system, so nothing about your reporting changes either.
What hours can you cover?
Your business hours in US Eastern to Pacific, UK or Australian Eastern time from the group's two offices. Evenings, weekends and holidays are added through the after-hours desk, and a 24/7 front-desk pod is available on request. Bilingual Spanish or French answering is available on request. Each service page lists its coverage. Coverage is written into the staffing plan with the exact shift times, holidays and escalation rules for each.
Can the receptionist book into our practice or job system?
Yes. Receptionists work inside Calendly, Acuity, Google and Microsoft calendars, Dentrix, Open Dental, athenahealth, Clio, ServiceTitan, Jobber, Housecall Pro, Mindbody and similar systems through your own user account with the permissions you choose. For clinics, HIPAA-trained staff work under a BAA, with SS Support Network's healthcare desk behind them. Booking rules such as appointment lengths, provider preferences and buffers are set once and followed on every call.
Do you make outbound calls as well?
Yes: appointment confirmations, reminder calls, no-show rebooking, survey and feedback calls and callbacks, always with lawful consent and do-not-call scrubbing under TCPA, PECR, CASL and the Australian Do Not Call Register rules. We do not make robocalls and we never do third-party debt collection. Every outbound call is logged with the consent source and the outcome, and reminder scripts are approved by you before the first call is made.
What does the receptionist do when the phone is quiet?
Admin you assign: voicemail clearing, CRM updates, intake follow-ups, eligibility checks, invoice or order entry, inbox triage. Because the receptionist is dedicated to you, quiet minutes are your minutes. Tasks are listed with timestamps in the end-of-day report alongside every call, booking and message. How do you handle emergencies and escalations?
