What can coaches, consultants and creators hand off first?
These 8 jobs are what AssistBPO's Coaches pod takes off coaches, consultants and creators first.
Discovery call scheduling
Route application forms and booking links to the right offer, hold the slots you allow, confirm 24 hours ahead, send the pre-call questionnaire, and rebook no-shows the same day instead of letting them disappear.
Client onboarding
Send the coaching agreement, collect the signature and the first payment through your own payment link, deliver the welcome packet, set up the client's folder and portal access, book the first session and load the intake answers into your notes.
Course platform admin
Build and update modules in Kajabi or Thinkific, upload lessons and workbooks, set drip release dates, fix access problems, issue certificates and keep the resource library current between cohorts.
Community moderation
Welcome new members, post the weekly prompt, answer logistics questions, surface questions you need to answer yourself, remove spam and pitch posts, and keep the pinned resources accurate in Circle, Slack or your Facebook group.
Launch support
Run the launch task list: webinar registration pages checked, reminder emails scheduled, replay links posted, cart open and close times set, affiliate assets sent, daily sales numbers pulled from your platform and reported.
Podcast and content production support
Book and confirm guests, send prep documents and release forms, upload edited audio, write show notes and timestamps from the transcript, schedule the episode and cut clips for social.
Session and cohort admin
Set up Zoom rooms, post the call links, track attendance, upload replays and transcripts, distribute worksheets, and send the follow-up note with the action items you dictated.
Inbox and request triage
Sort speaking invitations, podcast pitches, partnership requests, client emails and support questions, answer what has a template, and leave a short list of what genuinely needs you.
What does a typical week look like for coaches, consultants and creators?
Monday
Weekend applications reviewed and discovery calls booked, new clients onboarded with agreement and welcome packet sent, and the week's sessions confirmed with pre-work attached.
Tuesday
Community prompt posted and moderated, member questions answered or escalated, course platform access issues cleared, and replays from last week uploaded with transcripts.
Wednesday
Podcast guests confirmed and prep packets sent, the edited episode published with show notes, and clips scheduled across your channels.
Thursday
Email sequence for the next launch drafted and loaded, segments checked, affiliate assets prepared, and the content calendar for the next two weeks put in front of you.
Friday
Payment plan failures chased, testimonials requested from clients finishing a cohort, session notes filed, and the week's numbers sent: calls booked, calls held, clients started.

Which assistant roles do coaches, consultants and creators use?

-

Which compliance rules apply to coaches, consultants and creators?
The rules your pod is trained on before the first live shift, and the ones the team lead checks in the monthly QA scorecard.
CAN-SPAM, CASL and GDPR on your list
Launch and nurture emails carry your business name, a postal address and a working unsubscribe link under CAN-SPAM, enforced by the FTC, with opt-outs honored within ten business days. Canadian subscribers need express or implied consent under CASL, enforced by the CRTC, and UK or EU subscribers need a lawful basis and a consent record under the UK GDPR and GDPR, with the ICO and national authorities enforcing. Your assistant keeps consent dates, sources and suppression lists in the email platform rather than in a spreadsheet.
FTC rules on testimonials and results
Testimonials, case studies and any income or outcome claim follow the FTC Endorsement Guides at 16 CFR Part 255: results must be typical or clearly qualified, material connections such as affiliate commissions or gifted places must be disclosed, and the person must have given permission in writing. Your assistant collects that permission, keeps the file, and flags any claim that needs your sign-off before it is published.
Coaching is not licensed advice
Assistants never counsel a client, interpret personal circumstances or answer a question that belongs to a licensed therapist, physician, attorney, accountant or financial adviser. Messages that show distress or crisis follow the escalation script you write, which usually means reaching you immediately and sharing the support resources your agreement lists. That line is written into the playbook at onboarding and reviewed with your team lead.
Recording consent on calls
Coaching sessions, discovery calls and group calls are recorded only with consent announced at the start, because twelve US states require all parties to agree, and Canada, the UK and Australia have their own notice rules. Your assistant sets the recording notice in Zoom, checks the consent line is in your agreement, and stores recordings in your own account rather than anywhere else.
KPIs we report
AssistBPO reports 6 KPIs on the Coaches pod.
| KPI | Why it matters |
|---|---|
| Discovery calls booked and held | Two separate numbers, because a booking that does not show is a scheduling problem, not a marketing one. |
| Time from application to booked call | Hours between someone raising a hand and a slot on your calendar, where most coaching leads go cold. |
| Onboarding completed within one business day | Agreement signed, payment set up, welcome packet sent and first session booked, before the buyer's enthusiasm fades. |
| Community response time | How long a member waits for a reply in the group, which is what members actually judge a membership on. |
| Launch tasks on schedule | Percentage of the launch timeline completed on the planned day, because a late reminder email costs sales you cannot recover. |
| Failed payments recovered | Payment plan installments that fail and are recovered before a client silently drops out. |

Frequently asked questions
How much does a virtual assistant for coaches cost?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, published US virtual assistant pay averages $19.45 an hour (PayScale via Wishup, 2026), and managed offshore assistants are typically quoted at $640 to $2,400 a month full time. A dedicated coaching assistant is priced per person for a block of hours, so a launch month and a quiet month cost the same, which makes the number easy to plan around.
Can the assistant run a launch on their own?
They can run the mechanics, not the strategy. You decide the offer, the price, the dates and the messaging. The assistant builds the timeline from your plan, loads the pages and emails, schedules reminders, checks every link and payment flow before cart open, posts replays, sends affiliate assets, monitors the inbox during cart open and reports numbers each morning. Copy you have not approved never goes out, and your team lead sits on the launch debrief with you.
Which course and community platforms do your assistants know?
Kajabi, Thinkific, Teachable, Podia and Skool for courses and memberships; Circle, Mighty Networks, Slack, Discord and Facebook Groups for community; Calendly, Acuity Scheduling and SavvyCal for booking; Zoom and Riverside for calls and recordings; ActiveCampaign, ConvertKit, Mailchimp and Flodesk for email; Notion, Asana and ClickUp for project work. If you run something else, your team lead records the workflow during onboarding and the assistant learns it in the first week.
Will the assistant talk to my clients?
As much or as little as you want. Most coaches let the assistant handle logistics in their name: scheduling, reminders, worksheets, access problems, payment plan questions and community welcomes. Anything that touches the coaching relationship, such as a client asking for advice or describing a difficult situation, is passed to you with the message intact. The assistant never coaches, never interprets, and follows the escalation script you write for anything that sounds urgent.
Can the assistant handle payments and refunds?
They can set up payment links, send invoices, chase failed installments and tell you which refund requests are inside your stated window. They do not hold card details, process refunds without your instruction or change pricing. Payments run through your own Stripe, PayPal or platform checkout, and the assistant works inside your account under a staff login you can revoke at any time. The money decisions stay with you.
How do you keep my client information private?
Every assistant is an employee of the group, background-checked and under NDA, working on a managed device with MFA and no local file storage. Session notes, applications and client documents stay in your own Notion, Google Workspace or platform account. Access is granted per tool through your own user accounts, so you can see what was done and remove access in minutes. Community members and clients are never added to any list without the consent your forms captured.
What hours does the assistant work?
Your hours, with the shift shaped around your calls. Coaches usually want an assistant online before the first session so pre-work and links go out early, and again after the last call to post replays and file notes. Launch weeks and cart-close nights can be covered by extending the shift or adding the evening desk. If your clients sit in several time zones, we staff the overlap that covers most of them and your team lead adjusts it in the weekly review.
Is the assistant a freelancer?
No. Every assistant is an employee of the group with a trained backup and a team lead, so a holiday or a sick day does not leave your community unmoderated or your applications unanswered. You are not co-employing anyone and there is no contractor to chase for availability during a launch. The team lead stays your single point of contact for the weekly review and the monthly QA scorecard.
