What does a CRM virtual assistant do?
A CRM virtual assistant maintains a sales team's customer relationship management system: logging activity, updating deal stages and close dates, merging duplicates, filling required fields, cleaning lists, building sequences and workflows and producing pipeline reports. The assistant does the data work reps skip, so forecasts, dashboards and automations run on records that are actually current.

Who is the CRM management desk for?
- Sales teams whose forecast nobody believes
- Half the deals have last month's close date and no next step. An assistant works the pipeline record by record until the board matches reality.
- Founders who bought a CRM and never finished setting it up
- Fields, pipelines, deal stages and email sync configured properly, then kept that way, instead of a half-empty HubSpot nobody opens.
- Agencies and service firms with contacts in five places
- Spreadsheets, inboxes and old systems merged into one deduplicated database with a documented field structure.
- Teams running sequences and automations
- Workflows, lead scoring and email sequences built, tested and monitored, with lawful consent and do-not-call scrubbing behind every send.
What does the CRM management service include?
These 12 tasks are what AssistBPO's CRM management desk handles as standard for a sales leader.
- Daily logging of calls, emails, meetings and next steps per deal
- Deal stages, amounts and close dates chased and corrected
- Duplicate detection and merging across contacts, companies and deals
- Required-field audits so reporting and automations do not break
- Contact and company enrichment from your own sources
- List segmentation, static and dynamic, for campaigns and territories
- Email sequences and workflows built, tested and documented
- Lead scoring rules maintained and reviewed with your sales lead
- Consent, opt-out and do-not-call status recorded on every record
- Pipeline, activity and source reports rebuilt each week
- Dashboard for the sales meeting, refreshed before it starts
- Change log of every bulk edit, import and merge the assistant runs
Deliverables and KPIs
AssistBPO reports 6 measures on the CRM management desk: what lands on your desk, what we count, and how often you see the number.
| Deliverable | KPI we report | Cadence |
|---|---|---|
| Activity logged | Percentage of calls, emails and meetings logged against the plan | Daily |
| Pipeline hygiene | Open deals with a current stage, amount, close date and next step | Weekly |
| Database quality | Duplicate rate and required-field completion by object | Monthly |
| Working automations | Sequences and workflows tested, errors cleared within the day | Weekly |
| Consent record | Opt-out and do-not-call status set on every contact before a campaign | Per campaign |
| Sales meeting pack | Pipeline and activity report ready before the meeting | Weekly |
KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.
How does the CRM management desk work?

Match
A 20-minute discovery call on which CRM you run, how many records and users sit in it, what your deal stages mean, which reports your leadership actually reads and what is broken today. Within 72 hours we propose a named assistant who has worked in your CRM daily, plus a trained backup.

Onboard
Week one is an audit: record counts, duplicate rate, empty required fields, dead deals, broken workflows and unsubscribed contacts still in sequences. You get the findings as a short list with a fix order. The assistant gets a user account with the permissions you choose, then works the list from the top.
-
Daily rhythm
The assistant logs activity as it happens, chases reps for missing next steps, merges duplicates found that day, clears workflow errors and updates any deal that moved. The end-of-day report shows deals updated, records merged, fields filled and anything a rep needs to confirm before tomorrow.
-
Weekly review
20 minutes with the team lead: pipeline hygiene score, duplicate and completion rates, sequence performance, workflow errors and the clean-up target for next week. Monthly, the team lead audits a sample of records and bulk edits against the change log to check nothing was overwritten.
Hours, coverage and models
AssistBPO staffs the CRM management desk on 4 models. The assistant works your business hours across US Eastern to Pacific, UK, Canadian and Australian time from the group's two offices, so reps get answers the same day. AEST shifts are available on request.
- Dedicated CRM assistant, 160 hours a month, for teams of 5 or more reps
- Part-time assistant, 80 hours a month, for a small team or founder-led sales

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.
How much does CRM management cost?
Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.
What moves the plan
- Hours a week and whether the desk is dedicated or shared
- Phones: live answering needs a receptionist profile and a backup
- Coverage zone: business hours, after-hours, weekends or 24/7
- Tools and access to set up
- One person or a pod with a lead

Country rules for this service
AssistBPO makes outbound calls, texts and emails only with lawful consent and do-not-call scrubbing. Assistants never take card numbers. Country rules.
- US: CAN-SPAM identity and unsubscribe on every campaign; do-not-call status held on the record before any dialing under TCPA
- UK: UK GDPR lawful basis recorded per contact; PECR rules with TPS and CTPS screening applied before marketing calls
- Canada and Australia: CASL express or implied consent flagged per contact; Australian contacts washed against the Do Not Call Register before outbound campaigns
Frequently asked questions
How much does a CRM virtual assistant cost?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, 2026 cost guides put managed remote assistants at $7 to $15 an hour and $640 to $2,400 a month full time, while PayScale lists the average US virtual assistant at $19.45 an hour and an in-house assistant at $4,700 to $9,100 a month loaded (Wishup, Cherry Assistant, PayScale). AssistBPO prices per named assistant for a block of hours, not per record, so nobody is paid to touch data twice.
Which CRMs do you work in?
HubSpot, Salesforce, Zoho CRM, Pipedrive and GoHighLevel are the daily systems, with Follow Up Boss and kvCORE for real estate teams. The assistant works inside a user account you create, with the object permissions and export rights you choose. If you run something less common, we still take it on: the audit, the field structure and the weekly rhythm are the same, and the team lead checks the first month of work closely.
Can you clean up a database that has been neglected for years?
Yes, and that is usually week one. The audit counts duplicates, empty required fields, deals with a close date in the past, contacts with no owner and anyone still in a sequence after unsubscribing. You approve a fix order and merge rules before a single bulk edit runs. Big clean-ups go in batches with a change log, so you can see exactly what changed and reverse it if a rule was wrong.
Will the assistant change things without asking?
No. Record-level work such as logging a call or correcting a stage happens continuously under agreed rules. Anything that touches many records at once, such as a merge rule, a field deletion, a pipeline change or an import, needs your written approval first and goes in the change log after. The weekly review covers what was changed and what is queued, so there are no surprises in your reports.
Do you build sequences and automations too?
Yes. The assistant builds and tests email sequences, workflows, lead scoring, task automation and deal-stage triggers, then monitors them for errors. Sends go out with lawful consent and do-not-call scrubbing: CAN-SPAM identity and unsubscribe for US email, PECR rules and TPS or CTPS screening in the UK, CASL express or implied consent in Canada and Spam Act rules in Australia. Suppression lists are applied before every campaign.
How do you stop reps from ignoring the CRM again?
Two things work. First, the assistant does the typing: reps forward a note or leave a voice memo and the record gets written properly. Second, the weekly review puts hygiene on a scoreboard by rep, so a missing next step is visible to the sales lead rather than buried. Most teams see logging habits improve in the first month because the friction moved off the rep's desk.
Can the same assistant run reports for our sales meeting?
Yes. The assistant rebuilds pipeline, activity, source and conversion reports on a schedule and has the dashboard refreshed before your meeting starts. Where your CRM reporting is thin, data is exported into Google Sheets or Airtable and charted there. The report format is agreed in onboarding and tuned in the weekly review, so the sales lead stops rebuilding the same view every Monday.
What happens to our data if we stop?
Everything the assistant produces lives in your CRM and your workspace, under your account, from day one. Nothing is kept on a local machine and nothing is exported to a personal drive. When an engagement ends you revoke the user account and the work stays exactly where it was: same records, same fields, same workflows, plus the change log and the field documentation written during onboarding.
How quickly does it start showing?
Discovery to a named proposal is 72 hours. Access, the audit and the fix order take the first week. Most teams see a correct pipeline report by the end of week two and a duplicate-free contact base within the first month, depending on record count. The steady state, where logging happens the same day and reports need no rebuilding, usually settles by week six.
