Why do Airtable users need a virtual assistant?
Airtable is where operations teams, agencies, nonprofits, e-commerce brands and content studios keep the data that does not fit a CRM: inventory, applicants, grants, editorial pipelines, vendor lists, event logistics. The base grows, more tables link to each other, and data entry becomes a daily chore that the operations lead does at 9pm. Then it slips: duplicate records, blank single-select fields, broken lookups after a field rename, an automation that stopped running when its owner left, and an Interface nobody updated. An assistant takes ownership of the base: entering and importing records with the field rules applied, deduplicating and linking, keeping views and Interfaces useful, watching automations and syncs, running the weekly extracts, and documenting the base so it can be understood by the next person. Your process stays yours; the data stays clean.
What can a virtual assistant do inside Airtable?
- Tables, fields and records
- Enter and import records with field types respected, standardize single-select and multiple-select options, fill required fields and archive records that are no longer live.
- Linked records, lookups and rollups
- Connect records across tables, repair lookups and rollups after field changes, and keep the relationships documented so formulas keep working.
- Views
- Build and maintain grid, kanban, calendar, gallery, Gantt and timeline views with the filters, sorts and groupings each team actually uses, and delete the ones nobody opens.
- Interfaces
- Keep Interface Designer pages current for managers, clients or field staff, with the right records, charts and buttons, and test them after base changes.
- Forms
- Manage Airtable forms for intake, applications and requests, map answers to fields, and triage new submissions into the correct view each morning.
- Automations
- Build and monitor automations that send emails, post to Slack, create records or update fields on triggers, and review the run history every week for failures.
- Sync and imports
- Maintain synced tables between bases and imports from CSV, Google Sheets or other tools, with a check on field mapping after every change.
- Extensions and reporting
- Run the extensions you rely on, such as charts, pivot tables and dedupe, and export the weekly report or CSV to the people who need it.
