How are remote intake specialists vetted?
5 gates, in order. A candidate who fails one does not reach the next.
- English and phone assessment
- Typing and tool tests
- Background check
- NDA and security onboarding
- Shadowing and QA scorecard
Candidates who clear all 5 gates are proposed to you by name within 72 hours.
Intake candidates take a recorded set of calls that mirror real enquiries: a distressed caller after an accident, a prospective patient with a long story, a homeowner who wants a price before giving an address and a caller who is clearly outside your criteria. We score empathy, script control, accuracy of the captured facts and how the decline was handled.
Typing at 50 words a minute while on a call, then a practical: complete a full intake record in a Clio or HubSpot sandbox from a recorded call with every field correct, book the consultation in a linked calendar, send a form for e-signature and write a two-paragraph summary a lawyer or estimator could act on.
Identity, employment history and criminal record where lawful are verified by a third-party screening provider. Because intake specialists hear legal, medical and financial details in the first minutes of a relationship, two former supervisors are asked specifically about discretion and accuracy.
Group NDA and your confidentiality terms, then security and compliance onboarding: MFA, managed devices, no local notes outside your system, conflict-check-before-detail rules for law firms, HIPAA-trained handling and a BAA for healthcare intake, recording notices by state and country, and consent rules for every follow-up.
A week listening to a live intake desk and reading its best records, then a week taking your enquiries with a senior on the line. After go-live the team lead scores a monthly sample of recorded intake calls and records for script adherence, fact accuracy, empathy and booking outcome, and reviews the QA scorecard with your conversion data.
The full pipeline is on the how we hire and manage assistants page. Assistants are employees of the group, never freelancers, and you never co-employ them.

Frequently asked questions
How much does it cost to hire a remote intake specialist?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For a benchmark, the US median for an in-house receptionist is $38,010 a year before benefits (BLS, May 2025 data), and per-call live answering services publish from about $292 for 30 calls a month with $9.75 per extra call (Smith.ai via OnceHub, September 2026). AssistBPO prices a dedicated intake specialist per person for a block of hours, so a surge in enquiries does not turn into a per-call bill.
Is it the same person every day?
Yes. One named intake specialist learns your script, your qualification rules, your attorneys or clinicians and the questions callers actually ask. A backup specialist trained on the same script covers leave and breaks, and a team lead scores calls monthly. Callers who phone back reach someone who remembers them, and your intake records are written in one consistent style that your attorneys or clinicians can read at a glance.
What hours will the intake specialist cover?
Your business hours on a fixed shift, typically 8am to 5pm in your time zone on a 160-hour plan, because enquiries convert best when answered live and called back within minutes. An 80-hour plan can cover your peak enquiry window. Evening and weekend enquiries are captured live by the after-hours intake desk as an add-on, with urgent matters escalated by your rules. US, UK and Canadian hours are standard; AEST on request.
How are intake specialists vetted?
Each specialist passes a recorded intake-call assessment built on distressed, rambling and out-of-scope callers, a typing test with a full intake-record and booking practical, a third-party background check with supervisor references on discretion, an NDA with conflict-check, HIPAA-trained and consent onboarding, and two weeks of shadowing before taking enquiries alone. The team lead then scores calls and records monthly on the QA scorecard.
Is the specialist an employee or a contractor?
An employee of the group. Intake specialists are hired, trained, paid and managed by us, under a team lead and our confidentiality, security and HR policies. You set the script and the rules; you do not co-employ, contract or handle payroll. For law firms and clinics this matters twice over: an employed specialist is bound by written confidentiality and compliance policies that are audited, not by a gig agreement.
Can the intake specialist run legal or medical intake?
Yes, with the right controls. For law firms the specialist collects conflict-check details before any substantive discussion, never gives legal advice and follows your engagement rules. For clinics and healthcare practices we use HIPAA-trained staff and a BAA, capture only the minimum necessary, and book into your practice system. Home-services intake follows your job-type and service-area rules and books straight into ServiceTitan or Housecall Pro.
What happens to enquiries you decline?
They are handled kindly and logged. The specialist follows your decline script, offers a referral list where you provide one, and records the reason in the CRM so the weekly report shows why enquiries fell out. That data often changes your marketing: if half the declines are out of area, the ads are wrong. Nothing is deleted, so a declined caller who later fits your criteria can be found.
How does follow-up on unconverted enquiries work?
On a cadence you approve, with lawful consent and do-not-call scrubbing. A prospect who did not book gets a follow-up call, text or email at set intervals, each logged, until they book, decline or the sequence ends. Anyone who asks to stop is removed immediately. The weekly report shows how many bookings came from follow-up rather than the first call, which is usually more than firms expect.
