Executive & admin desk
Virtual admin assistant services on the Executive & admin desk give founders, executives and small teams one named assistant. Runs the inbox, the calendar, travel, documents, research and follow-ups in your hours.
Fifteen services, one person to brief, a trained backup and a team lead, and an end-of-day report so you know what was handled and what is waiting.
Why this desk is different at AssistBPO
Most virtual assistant companies match you with a person and leave you to manage them. The Executive & admin desk is run as a desk: your assistant follows a documented daily rhythm, a team lead reviews the work every week, and a backup is briefed on your preferences before you ever need them. The assistant is an employee of the group, not a freelancer, so the person who learned how you like your Tuesday mornings in month one is still there in month twelve. You choose the mix, from a full executive assistant to a part-time inbox and calendar routine, and add project coordination, recruiting admin or a virtual office manager as the team grows.

KPIs we report
| KPI | Why it matters |
|---|---|
| Inbox response time | Unanswered email is where deals, hires and goodwill quietly die. We measure hours from arrival to a reply or a triage decision. |
| Calendar accuracy | Double bookings, missing links and wrong time zones cost more than the time to prevent them. Target: zero calendar errors a week. |
| Follow-ups closed | The assistant keeps a list of every promise made in your meetings and tracks it to done, so nothing depends on your memory. |
| Same-day task completion | Requests made before noon should be finished the same day. The end-of-day report shows what was done and what carried over. |
| Hours returned to you | The point of the desk. We estimate the hours the assistant took off your plate each week and review it with you monthly. |
| QA scorecard | The team lead scores accuracy, tone and judgment on a sample of work every month, so quality is measured rather than assumed. |

Frequently asked questions
What is the difference between an executive assistant and a virtual assistant on this desk?
An executive assistant supports one or two people at depth: inbox, calendar, travel, meeting prep, gatekeeping and follow-ups, with the judgment to act on your behalf. A virtual assistant handles a broader mix of day-to-day admin for a team: documents, data, scheduling, research and whatever the week brings. Both are named, employed and managed the same way; the difference is depth versus breadth, and we help you choose in the discovery call.
How much do virtual admin assistant services cost?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, an in-house executive assistant in the US costs $4,700 to $9,100 a month loaded, US virtual assistants average $19.45 an hour on PayScale, and managed offshore assistants are published at $640 to $2,400 a month full-time (Wishup 2026 Industry Report). We price per person for a block of hours, not per task.
Will the assistant work in my time zone?
Yes. Assistants are scheduled in US Eastern to Pacific, UK and Australian Eastern hours from the group's two offices, so your assistant is online when you are, not answering overnight. Early starts, late finishes and split shifts are agreed in the staffing plan, and the daily check-in happens at a time you choose. If you travel, the assistant keeps your home hours unless you ask for a temporary shift.
How do I hand over my inbox and calendar safely?
Through delegated access, not shared passwords. In Google Workspace and Microsoft 365 you grant the assistant delegate rights to mail and calendar with the permissions you choose, on a managed device with MFA. We agree rules for what gets answered, drafted, flagged or left alone, and you can narrow or revoke access at any time. Sensitive threads can be excluded with a label the assistant never opens.
What happens when my assistant is on leave?
A trained backup, briefed on your preferences and systems from the start, steps in with no gap. The team lead manages the handover and the end-of-day report continues. Because the assistant is an employee of the group with documented routines, leave and sickness are planned around rather than discovered on a Monday morning. You are told the dates in advance and meet the backup before they cover.
Can one assistant cover several services on this desk?
Usually, yes. A full-time assistant commonly runs inbox, calendar, travel, meeting notes and document preparation for one executive, and can add research or light project coordination. When the load grows beyond one person, we add a second assistant or a specialist, for example a recruiting coordinator during a hiring push, under the same team lead. The staffing plan sets the mix and is revisited in the monthly review as your needs change.
Do you offer personal assistant tasks as well as business admin?
Yes. Personal scheduling, family logistics, bookings, purchases and household admin are part of the personal assistant service and can sit with the same person who runs your work calendar, with clear rules about what is charged to which account and what stays private. Family calendars, school runs, travel for relatives and gift lists are common requests, and the assistant treats them with the same confidentiality as your board papers.
How quickly can we start?
A discovery call, then a named assistant proposed within 72 hours. Onboarding covers access, preferences, routines and a short shadow period, and most executive desks are running their daily rhythm within the first two weeks. The weekly review in the first month is used to tune what the assistant handles without asking. If you need cover sooner, for example when an in-house assistant leaves, tell us on the call and we prioritize the match.
