Why do Microsoft 365 users need a virtual assistant?
Law firms, accounting practices, insurance agencies, construction companies and most established businesses run on Microsoft 365, and its admin weight falls on the partner, the practice manager or the owner. Outlook holds the day: hundreds of emails, flagged items nobody returns to, meeting requests that clash, a shared mailbox nobody owns. SharePoint libraries drift into personal OneDrive folders, Excel trackers go unreconciled, and the PowerPoint for Thursday is still last quarter's version. An assistant with delegate access takes the operational half: triaging Outlook with rules and categories, drafting replies, running the calendar with buffers and travel time, managing Bookings pages, organizing SharePoint and OneDrive with naming rules and permissions, updating Excel reports, formatting Word documents and decks, and handling Forms and Planner. The tenant stays under your IT control; the daily load moves to a person whose job it is.
What can a virtual assistant do inside Microsoft 365?
- Outlook mail
- Work the inbox through delegate access or a shared mailbox: triage with categories and folders, maintain rules and Quick Steps, draft replies in your voice, send routine responses from templates and track threads waiting on others.
- Outlook calendar and rooms
- Schedule and move meetings across time zones, set buffers and focus time, book rooms and resources, send invites with agendas and Teams links, and confirm attendees the day before.
- Microsoft Bookings
- Set up and maintain Bookings pages for consults, demos or service appointments with staff availability, buffers, intake questions and reminders, and manage reschedules and cancellations.
- OneDrive and SharePoint
- Organize document libraries with folder structure, naming rules, metadata and permissions, move working files out of personal OneDrive, and clean up versions and duplicates.
- Word and PowerPoint
- Prepare letters, proposals, reports and decks from your notes and templates, apply brand styles, manage tracked changes and comments, and produce the final PDF.
- Excel
- Update trackers and reports from several sources, maintain formulas, tables and data validation, build PivotTables and simple dashboards, and send the weekly numbers on schedule.
- Planner and To Do
- Turn actions from email and meetings into Planner tasks with buckets, assignees and dates, keep To Do lists current for the people you support, and chase overdue items.
- Microsoft Forms
- Build forms for intake, surveys and registrations, connect responses to Excel or SharePoint lists and triage new submissions each morning.
