What can real estate agents and teams hand off first?
These 8 jobs are what AssistBPO's Real estate pod takes off real estate agents and teams first.
Transaction coordination
Contract to close: open the file, send the timeline, chase signatures, track contingencies and earnest money, confirm inspection and appraisal dates, and keep lender and title updated until keys change hands.
Listing coordination
Order photos and floor plans, write the MLS description from your notes, enter the listing with every required field, schedule the sign and lockbox, and load the disclosure package.
ISA lead follow-up
Call and text new internet leads within minutes, work your sphere and past clients on a cadence, and book buyer consults and listing appointments on your calendar, with lawful consent and do-not-call scrubbing.
MLS admin
Status changes, price adjustments, open house entries, photo swaps and showing instructions kept current across the MLS and the syndication feeds.
Showing scheduling
Confirm showings through ShowingTime or the listing agent, build the buyer tour route, gather feedback after each showing and send it to the seller.
CRM hygiene
Tags, sources, action plans and smart lists kept clean in Follow Up Boss or kvCORE so no lead sits without a next action.
Marketing support
Just-listed and just-sold posts, open house flyers in Canva, email blasts to your database and review requests after every closing.
Post-close follow-through
Commission disbursement forms, closing gifts ordered, home anniversary reminders and annual home-value updates scheduled for next year.
What does a typical week look like for real estate agents and teams?
Monday
Weekend leads called back before 9am, open house sign-ins loaded into the CRM, and the week's contingency deadlines listed for every active file.
Tuesday
New listings entered in the MLS, photo shoots confirmed, showing feedback from the weekend sent to sellers.
Wednesday
Lender and title check-ins on every pending file, appraisal and inspection appointments confirmed, price adjustments posted.
Thursday
Sphere calls and past-client touches, review requests sent to last week's closings, weekend open houses scheduled and promoted.
Friday
Closing packages checked, commission disbursement forms submitted, next week's showings and closings on your calendar, pipeline report sent.

Which assistant roles do real estate agents and teams use?
AssistBPO builds the Real estate pod from the 6 roles below, each one employed and managed rather than contracted.
-
Runs every file from executed contract to close: deadlines, disclosures, signatures, lender and title follow-up.
-
Takes a signed listing agreement and gets it live: photos, MLS entry, sign, lockbox, syndication and open house prep.
-
Calls and texts leads, qualifies them and books appointments on the agent's calendar, with lawful consent and do-not-call scrubbing.
-
Works your sphere, past clients and open house sign-ins on a cadence and sets consults for the agents.
-
General admin: inbox, calendar, CRM, marketing and the paperwork nobody on the team has time for.
-
Listing posts, Reels, open house promos and community content with Fair Housing-safe wording.
Which compliance rules apply to real estate agents and teams?
The rules your pod is trained on before the first live shift, and the ones the team lead checks in the monthly QA scorecard.
TCPA for lead follow-up
Internet leads are called and texted only with the consent their form captured, inside the 8am to 9pm local window, after do-not-call scrubbing, under the Telephone Consumer Protection Act enforced by the FCC. State mini-TCPAs in Florida, Oklahoma and Washington are applied by area code.
Fair Housing in marketing
Listing descriptions, social posts and ad copy avoid protected-class language under the Fair Housing Act enforced by HUD. Your assistant works from a checked word list and flags anything borderline to you before it goes live.
Unlicensed activity limits
Assistants do not negotiate terms, quote commission, advise on price or show property. Those stay with the licensed agent under your state real estate commission's rules. We handle the admin around them.
RESPA and referral fees
No referral fee arrangements and no vendor kickbacks. Vendor recommendations go out as a list, and any affiliated business disclosure you require travels with the file, following RESPA rules enforced by the CFPB.
KPIs we report
AssistBPO reports 6 KPIs on the Real estate pod.
| KPI | Why it matters |
|---|---|
| Speed to lead | Internet leads that hear from a person in the first five minutes convert far more often than leads called the next day. |
| Files closed on the contract date | Every contingency and closing date met without an extension caused by paperwork. |
| Days from signed listing to live | The gap between listing agreement and MLS live, including the photo shoot, is where sellers judge you. |
| Appointments set per 100 conversations | The ISA number that tells you whether the script and the lead source are working. |
| Database touches per month | Sphere and past-client contacts made, because repeat and referral business comes from them. |
| CRM completeness | Percentage of leads with source, tag, stage and next action filled in. |

Case studyReal Estate Team Doubles Appointments with an ISA
A six-agent residential team in the US Southwest was buying portal leads every month and working them whenever showings allowed. Speed to lead depended on who was between appointments, which meant the best inquiries were often called hours later, if at all. The database of past clients and old inquiries had not been touched in a year. AssistBPO placed a named inside sales agent on the team, employed by the group, with a trained backup and a team lead, working in the team's own Follow Up Boss account and calling in local market hours including evenings. New leads are now called within minutes, qualified on timeline, price and motivation, and booked into the right agent's calendar by area. Between new leads the ISA works a written revival cadence on the old database.

Frequently asked questions
How much does a real estate virtual assistant cost?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, published US virtual assistant pay averages $19.45 an hour (PayScale via Wishup, 2026), and managed offshore assistants are typically quoted at $640 to $2,400 a month full time. A dedicated real estate assistant is priced per person for a block of hours, so a busy spring market does not change the bill.
Can the assistant work in our MLS?
Yes, through your own MLS login and under your supervision. Most MLSs allow an unlicensed assistant to enter and maintain listings for a licensed member, though a few require an assistant registration or a short MLS class. We check your board's rules during onboarding, complete any registration, and then enter listings, photos, status changes and showing instructions under your account. You approve every listing before it goes live.
Does a real estate virtual assistant need a license?
Not for the work we do. Transaction coordination, listing entry, CRM management, scheduling and marketing are unlicensed activities in every US state. What an unlicensed assistant cannot do is negotiate, advise on price or terms, show property or hold an open house alone, and we do not. Your state real estate commission publishes the line; we follow it and keep a copy of your state's rules in the assistant's playbook.
How does the ISA follow up with leads without breaking TCPA?
Every lead source is mapped to the consent it captures. A Zillow or website form with consent language allows calls and texts; a scraped list does not, and we will not call it. Numbers are scrubbed against the National Do Not Call Registry and your internal list before dialing, calls stay inside 8am to 9pm local time, and every text carries opt-out language. Consent records live in the CRM so you can answer a complaint in minutes.
Which CRMs and transaction tools do you know?
Follow Up Boss, kvCORE, LionDesk, Sierra Interactive, BoomTown and HubSpot on the CRM side; Dotloop, SkySlope, TransactionDesk and Brokermint for transactions; ShowingTime and BrokerBay for showings; Canva and Mailchimp for marketing. If your brokerage uses something else, the assistant learns it in the first week with your team lead recording the process, and access always runs through your own user account with the permissions you choose.
Can one person do transactions and lead follow-up?
For a solo agent closing a few deals a month, yes. For a team, we split them: transaction work rewards calm and detail, ISA work rewards energy and volume. A team pod is usually one transaction coordinator, one ISA on the morning lead shift and a backup trained on both. Your team lead reviews the split with you every week and adjusts as the pipeline changes.
What hours does the assistant work?
Your hours. Real estate runs on evenings and weekends, so we staff the shift you need: a 9 to 6 desk in your time zone, a 7am lead shift, or a Saturday showing desk. After-hours sign calls and showing requests can go to the after-hours desk, which leaves a morning handover note with every call and booking, so nothing from the weekend waits until Monday afternoon.
Is the assistant a freelancer?
No. Every assistant is an employee of the group, background-checked, under NDA, on a managed device with MFA. You are not co-employing anyone and there is no contractor to chase for invoices or availability. If your assistant is on leave, the trained backup steps in, and the team lead stays your single point of contact throughout, including for the weekly review and the monthly QA scorecard.
