What can e-commerce brands hand off first?

These 8 jobs are what AssistBPO's E-commerce pod takes off e-commerce brands first.

  1. Support tickets and WISMO

Answer email, chat and social tickets in Gorgias, Zendesk or Help Scout using your macros: order status, tracking lookups, address changes, discount code problems and product questions, with first response inside your target.

  2. Returns, exchanges and refunds

Approve RMAs by your policy, issue labels through Loop, Returnly or the carrier portal, process refunds and exchanges inside Shopify or Amazon, and log the return reason for the weekly report.

  3. Listings and catalog

Create and update product pages, variants, images, tags and metafields in Shopify and WooCommerce, keep Amazon listings and A+ content accurate, and fix suppressed or stranded ASINs in Seller Central.

  4. Order exceptions

Chase unfulfilled and split orders with the 3PL, resolve failed payments and fraud holds by your rules, reship damaged items and send the FTC-required delay notices when stock slips.

  5. Marketplace health

Answer Amazon Buyer-Seller messages within 24 hours, respond to A-to-z claims and chargebacks with evidence, monitor Order Defect Rate and open cases with Seller Support.

  6. Inventory and suppliers

Reconcile stock counts between the store, the 3PL and marketplaces, flag low stock against sell-through, send purchase orders for approval and chase supplier confirmations and shipping dates.

  7. Reviews and social inbox

Respond to reviews on Judge.me, Yotpo, Amazon and Trustpilot in your voice, answer comments and DMs on Instagram, TikTok and Facebook, and route product feedback to you.

  8. Email and SMS operations

Build Klaviyo segments, load approved campaigns, check flows after every product change, process unsubscribes the same day and pull the weekly campaign report.

What does a typical week look like for e-commerce brands?

  1. Monday

Weekend ticket backlog cleared before noon, unfulfilled and stuck orders chased with the 3PL, stock counts checked against the store and marketplaces.

  2. Tuesday

Listing day: new SKUs and variants built, images and copy updated, Amazon suppressed listings fixed, Seller Central cases reviewed.

  3. Wednesday

Returns and disputes: RMAs approved and labels sent, refunds processed, chargeback and A-to-z evidence submitted, review responses posted.

  4. Thursday

Suppliers and campaigns: purchase orders drafted for approval, shipping dates confirmed, Klaviyo segments and flows checked ahead of the weekend send.

  5. Friday

Weekly support and ops report: response times, CSAT, return reasons, ODR, low-stock list, next week's launches and promo calendar confirmed.

Which assistant roles do e-commerce brands use?

AssistBPO builds the E-commerce pod from the 6 roles below, each one employed and managed rather than contracted.

  • E-commerce assistant

Runs the daily store checklist: orders, exceptions, listings, inventory checks and supplier follow-ups across Shopify and your marketplaces.

  • Amazon specialist

Owns Seller Central: listing health, Buyer-Seller messages, A-to-z claims, FBA shipments, stranded inventory and cases with Seller Support.

  • Customer support agent

Works the Gorgias or Zendesk queue in your brand voice: WISMO, returns, product questions and order changes, scored monthly on the QA scorecard.

  • Live chat agent

Covers on-site chat during your peak browsing hours, answers sizing and shipping questions and converts pre-purchase questions into orders.

  • Order processing specialist

Handles order edits, address changes, split shipments, failed payments, fraud review by your rules and daily reconciliation with the 3PL.

  • Social media manager

Schedules approved content, manages comments and DMs, sources UGC with permission and reports on community activity each week.

Which compliance rules apply to e-commerce brands?

The rules your pod is trained on before the first live shift, and the ones the team lead checks in the monthly QA scorecard.

  1. PCI DSS and payment data

Assistants never see or take full card numbers. Refunds, partial refunds and replacements are processed inside Shopify, Amazon, WooCommerce or your payment provider's dashboard, and customers who offer card details by phone or chat are redirected to checkout. That keeps your PCI DSS scope where it belongs, with your payment processor.

  2. Shipping delays and consumer rights

The FTC Mail, Internet or Telephone Order Merchandise Rule requires shipment within the stated time or 30 days, with a delay notice and the option to cancel for a refund. UK customers have 14-day cancellation rights under the Consumer Contracts Regulations 2013, and Australian customers have consumer guarantees under the Australian Consumer Law enforced by the ACCC. Assistants send the notices and honor the rights.

  3. Amazon and marketplace policies

Buyer-Seller Messaging rules require a response within 24 hours and forbid marketing or review requests that offer anything in return. Order Defect Rate, late shipment and cancellation metrics decide account health. Assistants answer inside the window, handle A-to-z claims with evidence and follow Etsy and eBay messaging rules the same way.

  4. Marketing consent: CAN-SPAM, TCPA, CASL, PECR

Email campaigns carry identification and an unsubscribe link under CAN-SPAM; SMS through Attentive or Postscript needs prior express written consent under the TCPA; Canadian subscribers need CASL express consent and UK subscribers PECR consent. Assistants process opt-outs the same day and never add contacts without a consent record. Reviews and UGC follow FTC endorsement rules.

KPIs we report

AssistBPO reports 6 KPIs on the E-commerce pod.

KPIWhy it matters
First response timeHours from ticket creation to the first human reply, by channel; it is the number customers mention in reviews.
CSATPost-ticket satisfaction score from Gorgias or Zendesk; it tells you whether macros and tone are working, not just speed.
WISMO share of ticketsThe proportion of tickets asking where an order is; a rising share points to a shipping or notification problem, not a support problem.
Order Defect RateAmazon's account health metric built from negative feedback, A-to-z claims and chargebacks; it has to stay under 1 percent.
Listing accuracyErrors found per 100 product pages in the weekly audit: wrong price, missing variant, broken image, stale stock; each one is a lost or refunded order.
Return processing timeDays from RMA request to refund or exchange issued; slow returns become chargebacks and one-star reviews.

E-commerce Brand Survives Peak Season Support

A direct-to-consumer brand selling on Shopify did most of its year in six weeks. The rest of the year two people cleared the queue comfortably. In peak season the same two people were answering chat, email, Instagram messages and returns at once, first response times stretched into days, and shipping-delay questions arrived faster than anyone could answer them. Temporary hires had never worked out, because training finished about the time the season did. AssistBPO built a peak-season pod on the support desk: named agents with a team lead, trained in October, live from the start of November and stood down in January. The pod worked inside the brand's own Gorgias help desk using macros written with the in-house team. Tickets were tagged by reason so the operations team could see which problems were worth fixing at the source.

Frequently asked questions

What does an ecommerce virtual assistant do day to day?

Clears the support queue in your voice, chases order exceptions with the 3PL, processes returns and refunds by your policy, keeps listings accurate on Shopify and marketplaces, answers Amazon messages inside 24 hours, checks stock and supplier dates, builds Klaviyo segments and answers comments and DMs. The assistant works from a daily checklist in your hours and sends an end-of-day report: tickets closed, orders fixed, listings changed, what is waiting on you. Anything outside the checklist becomes a task in your project tool.

Which e-commerce tools do you work in?

Shopify and Shopify Plus, WooCommerce, BigCommerce and Magento for the store; Amazon Seller Central, Etsy, eBay and Walmart Marketplace for channels; Gorgias, Zendesk, Help Scout and Freshdesk for support; Klaviyo, Attentive and Postscript for email and SMS; ShipStation, ShipBob and 3PL portals for fulfillment; Loop and Returnly for returns; Judge.me, Yotpo and Trustpilot for reviews; Recharge for subscriptions. Access is through user accounts you create with the permissions you choose.

How do you handle peak season?

With a pod. Most brands run one or two dedicated assistants year-round and add a peak pod of 3 to 10 agents with a team lead from mid-October through the January returns wave, covering extended hours and weekends. Pod members are trained on the same macros and desk manual before Black Friday, so the first busy day is not their first day. When volume settles, the pod shrinks on notice. Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day.

Will support sound like our brand?

Yes, because it is built from your voice, not ours. During onboarding we load your macros, tone guide, product knowledge and the answers you have already given customers, then the assistant handles tickets in shadow mode for a few days while you review replies. The team lead scores a sample of tickets monthly on tone, accuracy and resolution, and any drift is corrected in the desk manual. You can review every reply in Gorgias or Zendesk at any time.

How much does an ecommerce virtual assistant cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, PayScale puts the average US virtual assistant at $19.45 an hour, offshore managed assistants are typically published at $640 to $2,400 a month full-time, and an in-house hire costs $4,700 to $9,100 a month fully loaded (PayScale, Indeed and Wishup, 2026). AssistBPO prices per named person for a block of hours, with peak pods added for the weeks you need them.

Can the assistant issue refunds and see payment details?

Refunds, yes, within limits you set in Shopify or Amazon, such as full refunds under a threshold and anything larger for your approval. Payment details, no. Assistants never see full card numbers and never take them by phone or chat; customers are sent to checkout or your payment provider. Refund and replacement actions are logged on the order, so you can audit every one. Chargebacks are answered with evidence from the order and tracking record.

Do you manage Amazon, Etsy and eBay as well as our own store?

Yes. An Amazon specialist handles Seller Central: Buyer-Seller messages inside 24 hours, A-to-z claims, listing suppressions, FBA shipment plans, stranded inventory, cases with Seller Support and Order Defect Rate monitoring. Etsy and eBay messages, cases and listing updates are handled by the same person or a second assistant depending on volume. Each marketplace's messaging rules are in the desk manual, including the ban on review requests that offer anything in return.

Can you cover UK, Canadian and Australian stores?

Yes, in local hours, spelling and rules. UK brands get Consumer Contracts Regulations 14-day cancellation handling, PECR consent for marketing and UK GDPR data handling. Australian brands get Australian Consumer Law guarantee handling and Spam Act consent rules, with AEST-shift coverage available on request. Canadian brands get CASL consent handling, bilingual French support available on request, and provincial consumer rules. Amazon.co.uk, .ca and .com.au accounts are handled the same way as .com.
