Hire a remote order processing specialist How we build a plan
How are remote order processing specialists vetted?
5 gates, in order. A candidate who fails one does not reach the next.
- English and phone assessment
- Typing and tool tests
- Background check
- NDA and security onboarding
- Shadowing and QA scorecard
Candidates who clear all 5 gates are proposed to you by name within 72 hours.
Candidates write customer emails for six order situations: an address that will not validate, a backorder with no firm date, a substitution request, a lost parcel, a wholesale customer disputing terms and a cancellation after the pick list printed. Then a short call taking a phone order with a difficult address. We score clarity, accuracy of what was captured and whether the customer would know what happens next.
Typing at 50 words a minute with a 10-key numeric test, then a practical in a Shopify sandbox: release a batch, hold three planted problem orders and say why, edit an address before fulfillment, process a partial cancellation, and reconcile a day's orders against a 3PL export in a spreadsheet. Errors on SKUs, quantities or addresses are weighted heavily.
Identity, address and employment history verified by a third-party provider, with criminal record checks where lawful. Because the role touches payment status and customer addresses, references from previous roles are asked about accuracy and how the candidate handled discrepancies.
Group NDA and your confidentiality terms, then security onboarding: staff accounts in your store and marketplace admins with only the permissions the role needs, MFA, managed devices, no order exports stored outside your tools, no card data handled outside your payment portal, and a written rule set for fraud flags and high-value holds.
A week shadowing a senior specialist on a live order queue, then a week working your queue with every hold and release checked before the daily cutoff. Once live, the team lead audits a monthly sample of released orders, exception decisions and customer emails for accuracy, timeliness and adherence to your rules, and you see the QA scorecard in the weekly review.
The full pipeline is on the how we hire and manage assistants page. Assistants are employees of the group, never freelancers, and you never co-employ them.

Frequently asked questions
How much does it cost to hire a remote order processing specialist?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For a benchmark, offshore managed remote staff publish at $7 to $15 an hour in the US market, or $640 to $2,400 a month full-time (Wishup, Cherry Assistant and VantaStaff, 2026), a UK-based hire runs £3,000 to £5,000 a month against £900 to £2,000 offshore, and Australian offshore agencies list A$8 to A$35 an hour. A dedicated AssistBPO specialist is one employed person for a block of hours each month, whatever the order count, with a backup and a team lead included.
Is it the same person working our orders every day?
Yes. One named specialist learns your SKUs, your carriers, your 3PL cutoffs and the exceptions that keep coming back. A backup specialist trained on your rules covers leave and sick days so the queue is released on time, and a team lead reviews the exception rate and open claims with you weekly. The order log and your rule set live in your tools, so continuity does not depend on any one person's memory.
What hours will the specialist cover?
Your fulfillment hours. Most clients want overnight orders reviewed and released before the warehouse or 3PL cutoff, so the shift starts early in your time zone from the group's two offices. A 160-hour plan covers a full day, five days a week; an 80-hour plan suits a morning release and an afternoon exception sweep. Weekend release, holiday cover and a peak-season pod for Q4 are added with agreed dates. US, UK and Australian Eastern shifts are standard.
How are order processing specialists vetted?
Every specialist passes a written and phone assessment on six order situations, a typing and 10-key test with a Shopify practical and a 3PL reconciliation, a third-party background check with accuracy-focused references, an NDA with store-admin security onboarding, and two weeks of shadowing before working your queue alone. After go-live the team lead audits a monthly sample of releases, holds and customer emails on a QA scorecard, and anyone below standard is coached or replaced from within the team.
Is the specialist an employee or a contractor?
An employee of the group. AssistBPO is a division of SS Support Network LLC, and the specialist is salaried, managed staff with a manager, paid leave and a training path. We never place freelancers or contractors, and you never co-employ the person: no agreement between you and the individual, no payroll on your side, no misclassification question. You engage AssistBPO for a staffed order desk, and the backup and team lead come with it.
Which platforms and fulfillment tools do you work in?
Shopify, WooCommerce, Amazon Seller Central, eBay and Etsy are on our training tracks, with Gorgias for customer replies, QuickBooks Online for invoicing wholesale orders and Airtable or Google Sheets for logs and reconciliation. Shipping and 3PL tools such as ShipStation, ShipBob or your warehouse portal, and ERPs such as NetSuite or Cin7, are learned in onboarding from your setup. We work under staff accounts you control, so access can be scoped and removed at any time.
How do you handle fraud flags and high-value orders?
With your rules, written down before go-live. Together we set thresholds for order value, mismatched billing and shipping addresses, first-time customers, high-risk destinations and rush shipping, and we decide which combinations get released, held for a customer check or sent to you. Every hold is logged with the reason and the outcome. Card data is never handled outside your payment portal, and the specialist never overrides a payment provider's decline. The weekly report shows holds, false positives and anything that slipped through.
Can the specialist take orders by phone or email?
Yes. Phone orders, email orders and wholesale purchase orders are entered into your store or ERP with the correct price list, terms and shipping method, and confirmed back to the customer in writing. If you want a dedicated line for order-taking during business hours, that is the order-taking desk, and the same person can cover it alongside the queue at lower volumes. Payment details are taken only through your secure payment link or portal, never over the phone.
