You approve any change to availability before it is loaded.

Do you handle Booking.com and Expedia messages?

Yes, inside the extranets so the booking record stays complete. The messaging agent answers guest questions, processes modification and cancellation requests to your policy, confirms special requests, and flags anything about rates, overbooking or a dispute to your revenue manager or GM. Rate and availability changes are loaded only after you approve them in writing. Response times are reported weekly because both platforms show guests how quickly a property replies.

How are deposits and card details handled?

Only in your own systems. Large-party deposits, room holds and event deposits are collected through the payment link or card capture in your reservation platform, PMS or POS, and the assistant confirms receipt from the record. Nobody at our desk takes a card number by phone or writes one down, which keeps you inside PCI DSS and keeps card data out of email and chat. If a guest insists on giving a card by phone, the desk sends the link instead.

Can you manage private dining, room blocks and events?

Yes. Inquiries are answered with availability from your calendar, the proposal goes out from your template, the assistant drafts the BEO or group contract for your approval, chases signatures and deposits, updates rooming lists and headcounts, and passes dietary requirements to the kitchen.
