Why do Vonage users need a virtual assistant?
Vonage gives a small company genuinely good call control. Call Announce whispers a tag so you know which number the caller dialed before you say hello. Call Screening makes an unknown caller record their name. Busy Lamp Field shows who is free. Call Groups and queues spread the ringing. The trouble is that every one of those features assumes a human is sitting there to use the information. When nobody is, the screening menu simply sends more people to voicemail, and the Virtual Receptionist still reads the menu somebody recorded when the business had one less department. Meanwhile the Vonage Integration Suite is installed in a browser nobody opens, so calls never reach the CRM. An assistant uses the system as designed: answers the Call Groups, takes the screened calls, keeps the Virtual Receptionist honest, and writes every conversation back to Salesforce, HubSpot, Clio or Zoho the same shift.
What can a virtual assistant do inside Vonage?
- Call Groups and queues
- Answers as a member of your Call Groups and queues during your hours, follows the ring strategy your admin set, and calls back anyone who hung up before an agent picked up.
- Virtual Receptionist
- Documents your Virtual Receptionist tree, keeps menu prompts, business hours, after-hours routing and holiday greetings accurate, and sends changes to your admin in writing before anything is re-recorded.
- Call Announce and Call Screening
- Uses the whispered Call Announce tag to open with the right greeting for the number dialed, and handles screened calls from the screening menu rather than defaulting everything to voicemail.
- Visual Voicemail and callbacks
- Clears the emailed voicemail transcriptions each morning, listens where the transcription is unclear, calls back in the priority order you set and books what can be booked on the spot.
- Business SMS and MMS
- Replies to texts on your Vonage number from approved templates, sends confirmations and reminders with lawful consent and do-not-call scrubbing, honors opt-outs the same day and keeps your campaign registration details on file.
- Vonage Integration Suite
- Runs the VGIS browser extension so calls, notes and next steps land on the CRM record, and uses Click to Connect to dial from the contact rather than retyping numbers.
- VBC Admin Portal support
- Adds, changes and removes users and extensions under your admin, keeps Call Group membership current after staff changes and reviews the App Center apps you actually use.
- Call recording and reporting
- Works with Company Call Recording or On-Demand Recording as configured, states the notice each country requires, and reports weekly on calls answered, missed and returned.
Integrations we handle
-
Vonage and Salesforce
The Vonage Integration Suite writes calls onto leads, accounts and cases, and the assistant adds disposition and next step before the record is closed.
-
Vonage and HubSpot
Calls appear on the contact timeline with a short summary, and the follow-up task is created for the owner while the conversation is still fresh.
-
Vonage and Clio
For law firms, new caller details and matter notes go into Clio during intake, with conflict-check questions asked before anything is promised.
-
Vonage and Zoho CRM
Vonage for Zoho PhoneBridge pops the record on an inbound call, and the assistant logs the outcome and schedules the next activity there.
-
Vonage and Microsoft 365
Visual Voicemail lands in Outlook for morning triage, and callbacks and meetings are booked in the shared calendar.
-
Vonage and Zendesk
Support calls become tickets with the call detail attached, and an existing ticket is updated when the same customer calls about it again.
