What is a sales follow up service?

Who is the sales follow-up desk for?
- Teams sitting on quotes nobody chased
- Proposals go quiet after the second email. A cadence with calls and a stated expiry date gets a decision instead of a gap in the pipeline.
- Home services and trades with estimates outstanding
- Every estimate followed up on day one, day three and day seven, with the job booked into ServiceTitan or Jobber when the customer says yes.
- Insurance, mortgage and advisory firms
- Renewals, reviews and referral introductions worked from your own client list, inside the calling rules that apply to regulated firms.
- Founders whose leads go cold after the first reply
- Someone owns the second, third and fourth touch, so a busy week does not quietly cost you the deal.

Deliverables and KPIs
AssistBPO reports 6 measures on the sales follow-up desk: what lands on your desk, what we count, and how often you see the number.
| Deliverable | KPI we report | Cadence |
|---|---|---|
| Cadence completion | Leads worked to the last planned touch, by list | Weekly |
| Speed to first touch | Minutes from inquiry to first call or reply attempt | Daily |
| Decisions reached | Leads closed won, closed lost or dated for a callback | Weekly |
| Meetings and callbacks booked | Booked and held against the plan | Weekly |
| Compliance record | Consent checked, registers scrubbed, zero contact outside permitted hours | Per campaign |
| QA scorecard | Script, tone, objection handling, logging accuracy | Monthly |
KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.

Onboard
We write the cadence per lead type: how many touches, in what order, on which days, by which channel, with the script and voicemail for each. Consent rules and calling windows are set per market in the dialer, suppression lists are loaded and recorded practice calls are signed off by the team lead before live work starts.
-
Daily rhythm
The assistant clears new inquiries first for speed to lead, then works today's scheduled touches in permitted hours, triages replies, books meetings and moves each record to its next step or its decision. The end-of-day report shows touches made, replies, meetings booked and every lead that reached a yes or a no.
-
Weekly review
20 minutes with the team lead: cadence completion, speed to first touch, reply and meeting rates by channel, the objections heard most and which touch in the sequence is producing the decisions. Monthly, the team lead scores recordings on the QA scorecard and the cadence is edited where the data says so.

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.
How much does sales follow-up cost?
Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.
What moves the plan
- Hours a week and whether the desk is dedicated or shared
- Phones: live answering needs a receptionist profile and a backup
- Coverage zone: business hours, after-hours, weekends or 24/7
- Tools and access to set up
- One person or a pod with a lead

Frequently asked questions
How much does a sales follow up service cost?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, 2026 cost guides put managed remote sales support at $7 to $15 an hour and $640 to $2,400 a month full time, with part-time 20-hour arrangements at $350 to $1,300 a month (Wishup, Zedtreeo, VantaStaff). AssistBPO prices per named assistant for a block of hours rather than per touch, so nobody is rewarded for padding a cadence.
How many touches do you make before giving up?
Whatever the cadence you approve says, and it varies by lead type. A hot inbound inquiry might get five touches across seven days. An aged list might get three touches across three weeks before moving to nurture. Persistent-misuse rules in the UK and calling-frequency limits in other markets cap repeat attempts, and the assistant stops immediately on an opt-out. Every stop reason is recorded on the record.
Do you text as well as call and email?
Yes, where consent allows it. SMS goes only to numbers with express consent, with your identity and an opt-out in the message, under TCPA in the US, PECR in the UK, CASL in Canada and the Spam Act in Australia. Numbers are scrubbed against do-not-call registers and your suppression list before the first message. If consent is missing, the cadence drops the SMS step rather than sending anyway.
How is this different from appointment setting?
Appointment setting works a prospect list that has never spoken to you. Sales follow-up works people who already raised a hand: an inquiry, a quote, a demo that did not close, a renewal coming up. The consent position is usually stronger, the conversation starts warmer and the measure is decisions reached rather than meetings booked from scratch. Many clients run both desks side by side.
Will the assistant sound like part of our team?
The assistant introduces themselves with your company name, works from a script and objection guide you approved and is matched for accent and pace to your customer base during the 72-hour match. Every assistant passes a phone and English assessment before joining a client desk, and the team lead scores a sample of recordings monthly on script adherence, compliance and tone.
What happens when someone says yes?
It depends on what you sold. For a booked meeting, the assistant puts it in the rep's calendar with notes on who, why now and what to bring, then sends a confirmation and a reminder. For a job or an order, the booking goes into your system and the handover note goes to the team who deliver it. Either way, the deal record moves stage the same day.
Can you work an old list we never followed up?
Yes, as a campaign block, with the consent position checked first. Records with no lawful basis for contact are excluded rather than dialed, and everything else is scrubbed against do-not-call registers and your suppression list. Aged lists usually get a shorter cadence with a clear reason for the call. The report shows contacted, reached, revived and permanently closed, so you know what the list was actually worth.
How do you stop us from annoying customers?
Frequency caps per contact across all channels, one owner per record so two people never chase the same person, an immediate stop on any opt-out, permitted calling hours enforced per market in the dialer, and a suppression list applied before every campaign. Complaints go straight to the team lead and onto the weekly review. Follow-up should feel attentive, and the cadence is edited when the replies say otherwise.
How long before we see results?
Discovery to a named proposal is 72 hours. Cadence design, script sign-off, consent rules and dialer setup take the first week, with practice calls scored by the team lead. Live follow-up starts in week two and the first decisions usually land within days, because most of the backlog is people waiting to be asked. A steady rate settles by week four after two weekly reviews.
