What does an Excel virtual assistant do?

An Excel virtual assistant builds, fixes and maintains spreadsheets and reports remotely: cleaning imported data, writing formulas and lookups, building pivot tables and charts, setting up dashboards in Excel or Google Sheets, reconciling totals against source systems and producing recurring reports on a schedule. The work is documented so the workbook still makes sense when the assistant is on leave.

How does the spreadsheets and reporting desk work?

  1. Match

A 20-minute discovery call on the workbooks you rely on, the systems they pull from and the reports you need. Within 72 hours we propose a named spreadsheet specialist, tested on Excel and Google Sheets, plus a trained backup.

  2. Onboard

We inventory your workbooks and reports, agree formats, schedules and who signs off, set up access to source systems and shared drives, then rebuild or tidy one report together so the standard is clear before the rest follow.

  3. Daily rhythm

Your specialist refreshes trackers and dashboards, cleans new exports, updates models, reconciles totals and sends scheduled reports through the day, with an end-of-day report listing what went out, what changed and any numbers that need your eye.

  4. Weekly review

20 minutes with the team lead: reports delivered on time, reconciliation differences, requests for new views and next week's schedule. Monthly, the team lead audits a report against its source on the QA scorecard.

Hours, coverage and models

AssistBPO staffs the spreadsheets and reporting desk on 3 models. US, UK, Canadian and Australian business hours from the group's two offices. Weekly reports can be built overnight so they are in your inbox first thing Monday.

  • Dedicated spreadsheet specialist, 80 or 160 hours a month, in your hours
  • Project to build or repair a model, dashboard or reporting pack
  • Shared reporting desk for a small set of weekly reports

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.

How much does spreadsheets and reporting cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

What moves the plan

  1. Hours a week and whether the desk is dedicated or shared
  2. Phones: live answering needs a receptionist profile and a backup
  3. Coverage zone: business hours, after-hours, weekends or 24/7
  4. Tools and access to set up
  5. One person or a pod with a lead

Frequently asked questions

How much does an Excel virtual assistant cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, offshore managed assistants are published at $7 to $15 an hour or $640 to $2,400 a month full-time, while US virtual assistants average $19.45 an hour on PayScale and an in-house assistant costs $4,700 to $9,100 a month loaded (Wishup 2026). Most clients buy a part-time block of hours for recurring reports, or a project to build a model.

Excel or Google Sheets?

Both, and the specialist is tested on both before joining a client desk. Excel for heavier models, Power Query and pivot work; Google Sheets for shared trackers, connectors and anything your team edits together. Where a workbook has outgrown a spreadsheet, we will say so and can move it into Airtable with our systems admin desk.

Can you connect reports to our systems?

Yes. Exports from HubSpot, Salesforce, Shopify, QuickBooks Online, Xero, GA4 and ad platforms are the usual sources. Where the platform allows, we set up scheduled exports or Zapier and Make feeds so the specialist spends time checking numbers rather than downloading files. Everything is reconciled to the source before it is sent.

What happens if a formula breaks?

The specialist fixes it, logs the change and explains the cause. Workbooks are built with protected ranges, named ranges and a notes tab so a new row or a renamed column does not silently break a total. If someone on your team edits a shared sheet, the change log shows what happened and the report is rebuilt from the source.

Can you build a dashboard for my business?

Yes. We start with the five to ten numbers you actually look at, agree where each comes from and how often it refreshes, then build the dashboard in Excel or Google Sheets with charts, conditional formatting and a date stamp. It is maintained on a schedule, and the specialist tells you when a number looks wrong before you spot it.

Is this the same as bookkeeping or financial modeling advice?

No. The specialist builds and maintains spreadsheets and reports from your data. Bookkeeping, management accounts and anything requiring an accountant's judgment sit with LedgerBPO, our accounting sister brand, and we do not give financial, tax or investment advice. We prepare the workbook; your accountant or adviser owns the conclusions. If a request crosses that line, the specialist says so and routes it, rather than producing a number nobody should rely on.

Is it the same person every week?

Yes. One named specialist learns your workbooks, your definitions and your deadlines, so the report goes out the same way every cycle. A trained backup has read the documentation and covers leave, and a team lead runs the weekly review and monthly QA scorecard. When the report definitions change, the change is made once, documented in the notes tab and applied from the next cycle, so you are never comparing two different versions of the same number.

How quickly can a report be turned around?

Recurring reports run on a fixed schedule agreed in onboarding, often built overnight so they are waiting Monday morning. Ad hoc requests are queued by priority and usually returned the same or next business day, depending on how much cleaning the source data needs. Rush requests are flagged in the end-of-day report.
