Who is the sales admin desk for?
- Sales managers whose reps do their own paperwork
- Every hour a closer spends on order forms is an hour not selling. An assistant takes the forms, the filing and the chasing off the whole team.
- Firms with contracts and renewals to track
- Expiry dates, notice periods and auto-renewals held in one calendar with reminders, so a renewal is never noticed the week after it lapsed.
- Distributors and wholesalers with order entry volume
- Purchase orders matched, order lines keyed accurately, exceptions flagged before they reach the warehouse or the customer.
- Companies paying commission on a complex plan
- Splits, clawbacks, thresholds and adjustments prepared and reconciled to the CRM before the payroll deadline, with a query log reps can see.
What does the sales admin service include?
These 12 tasks are what AssistBPO's sales admin desk handles as standard for a sales leader.
- Order and sales entry from signed paperwork into your system
- Purchase orders matched to quotes and flagged when they differ
- Contracts prepared from approved templates and routed for signature
- Signed documents filed, dated and linked to the customer record
- Renewal, expiry and notice-period calendar maintained with reminders
- Customer, product and price records kept current across systems
- Commission data prepared and reconciled against the CRM
- Commission queries logged, investigated and answered
- Credit applications, forms and onboarding packs chased to completion
- Weekly sales reports: bookings, backlog, renewals, exceptions
- Handover pack for finance so invoicing goes out without chasing
- Monthly audit of open orders and unsigned contracts
Deliverables and KPIs
AssistBPO reports 6 measures on the sales admin desk: what lands on your desk, what we count, and how often you see the number.
| Deliverable | KPI we report | Cadence |
|---|---|---|
| Orders entered | Orders keyed within one business day of the signed paperwork | Daily |
| Entry accuracy | Error rate on order lines, pricing and customer data | Weekly |
| Contracts signed and filed | Days from issue to signature, zero unfiled signed documents | Weekly |
| Renewal calendar | Renewals flagged before the notice period, none missed | Monthly |
| Commission pack | Delivered before the payroll cut-off with queries resolved | Monthly |
| Sales report | Bookings, backlog and exceptions ready before the sales meeting | Weekly |
KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.
How does the sales admin desk work?
-
Match
A 20-minute discovery call on your order flow from close to invoice, which systems hold what, who signs a contract, how commission is calculated and where the paperwork currently gets stuck. Within 72 hours we propose a named assistant with sales administration experience in your sector, plus a trained backup.
-
Onboard
We document the order-to-invoice path step by step, agree the exception rules and who decides each one, set up system access with the permissions you choose, build the renewal calendar from existing contracts and clear the current backlog of unfiled paperwork so week two starts clean.
-
Daily rhythm
The assistant keys the orders that closed yesterday, prepares and issues contracts, chases signatures and missing purchase orders, files what came back and flags exceptions to the named owner. The end-of-day report lists orders entered, contracts out and in, chases sent and anything blocked waiting on a decision.
-
Weekly review
20 minutes with the team lead: entry accuracy, days from issue to signature, unfiled documents, renewals inside the notice window and open exceptions. Monthly, the assistant reconciles commission data against the CRM before payroll and runs an audit of open orders and unsigned contracts.

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.
How much does sales admin cost?
Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.
What moves the plan
- Hours a week and whether the desk is dedicated or shared
- Phones: live answering needs a receptionist profile and a backup
- Coverage zone: business hours, after-hours, weekends or 24/7
- Tools and access to set up
- One person or a pod with a lead

Frequently asked questions
How much does a sales administrative assistant cost?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, a full-time in-house assistant costs $4,700 to $9,100 a month once benefits and desk costs are loaded, while managed remote staff run $640 to $2,400 a month full time and PayScale lists the average US virtual assistant at $19.45 an hour (Cherry Assistant, Marblism, PayScale). AssistBPO prices per named assistant for a block of hours.
Can the assistant enter orders in our ERP?
Usually yes. The assistant works inside a user account you create with the permissions you set, whether that is Salesforce, HubSpot, an order module in your ERP or a spreadsheet-and-email process you have not replaced yet. Order entry is separated from payment approval so one person never controls both ends. If a system is unusual, onboarding includes a documented process written with your team.
Do you prepare contracts or write them?
Prepare, not write. The assistant works from templates your legal adviser approved, fills the agreed variables, checks the numbers against the quote, routes for signature and files the result. Anything that changes a clause, a liability position or a payment term goes to your named approver. We do not give legal advice and we do not sign anything on your behalf.
How do you handle commission calculations?
The assistant prepares and reconciles, your finance team approves and pays. Deals are pulled from the CRM, matched against the plan rules for splits, thresholds, clawbacks and adjustments, and any mismatch is queried before the pack goes out. Rep queries are logged with a response date so the same question is not asked three times. The pack lands before your payroll cut-off, agreed in onboarding.
Will renewals stop slipping?
That is usually the fastest improvement. Onboarding builds a renewal calendar from your existing contracts with the expiry date, the notice period and the owner for each one. Reminders fire before the notice window, not after it, and the weekly review lists anything inside 90 days. The assistant prepares the renewal paperwork and chases the signature, and your rep has the conversation.
Who chases customers for missing paperwork?
The assistant, on the schedule you set, by email and by phone where the customer has a contact number on file. Purchase orders, signed terms, credit applications and onboarding forms all get chased until they land or you decide to stop. Calls go out with lawful consent and do-not-call scrubbing under TCPA, PECR with TPS screening, CASL and the Australian Do Not Call Register.
How accurate is the data entry?
Entry accuracy is measured and reported weekly: error rate on order lines, pricing and customer records, found by spot checks and by exceptions raised downstream. New assistants work with a second check on their first two weeks of entries. The monthly audit of open orders and unsigned contracts catches anything that slipped, and the team lead reviews a sample every month.
Can one assistant cover sales admin and CRM hygiene?
For a small team, yes, and it works well because both jobs touch the same records. For a bigger team we usually split them: one person on order and contract administration, one on CRM data and reporting, sharing a team lead and one weekly review. The discovery call sizes it against your order volume, contract count and number of reps.
How quickly can you start?
Discovery to a named proposal is 72 hours. Process documentation, system access, the renewal calendar and clearing the current paperwork backlog take the first week. Live order entry and contract routing run from week two, and accuracy and turnaround usually settle by week four once the exception rules have been tested against real orders. Commission preparation usually joins at the first month end, after the plan rules have been documented and checked against one past cycle.
