Are survey calls covered by telemarketing rules?
Survey calls that do not sell anything sit outside some telemarketing rules, but we run them as if they were covered, because that is the safe standard. Consent is captured, numbers are scrubbed against do-not-call lists, calls stay inside permitted hours in each market, and anyone who asks not to be called is opted out on the spot. The caller never pitches an upgrade or a product, which keeps the call a survey in fact as well as in name.
Why phone calls instead of an email survey?
Email surveys get answered by the very happy and the very angry, and rarely explain the score. A short call reaches the quiet middle, gets a reason behind the number, and catches a problem while it can still be fixed. Many clients run both: an email survey for volume and a called sample for depth. The verbatim comments from calls are what product, service and training teams use.
What happens when a customer is unhappy?
The caller listens, records the complaint in the customer's words, thanks them and tells them a manager will follow up. The record is flagged and the named manager is alerted the same day by email, Slack or a CRM task. If you want it, the caller makes a follow-up call a week later to confirm the issue was resolved and records that too. The weekly review counts complaints raised and complaints closed.
Can the caller ask for a review or a referral?
Only if your policy allows it and only to customers who are clearly happy, with the wording you approve. Some review platforms restrict how reviews may be requested, so we follow your rules and theirs. The survey question comes first and the score is recorded before anything else is mentioned, so the invitation never shapes the answer. Detractors are never asked for reviews.
Which systems do the results go into?
HubSpot, Salesforce and Zoho CRM for account-based surveys; Zendesk for post-ticket surveys; ServiceTitan or your job system for post-visit surveys; and Airtable or Google Sheets when you want a simple shared dashboard. The caller writes the score, the comments and any flag to the record in an account you control, so results appear in your own reports and can be sliced by technician, product or location.
How many calls can one caller make?
It depends on reach rate and script length, which is why we do not price per survey. A short three-question survey allows more completed calls an hour than a ten-minute account review, and customers in some industries answer the phone far more than others. The first two weeks establish your actual rate, and the weekly review sets a realistic list size from that rather than from a promise made before we started.
Can survey calls be done for patients?
Yes, by HIPAA-trained staff under a BAA, using questions you approve about the experience of the visit rather than its clinical content. The caller confirms they are speaking to the patient or an authorized contact, avoids any detail about diagnosis or treatment, and records feedback in your practice or patient-experience system.
