How much does an emergency answering service cost?

What counts as an emergency on our line?

Whatever you define, written into the escalation tree with examples. A property manager might list flooding, no heat in winter, no water, a lockout after dark and a security concern as escalate-now, and everything else as a morning message. A practice lists its own clinical triggers with the provider. The operator follows the tree, and when a call fits no branch the rule is to escalate rather than decide alone. New branches are added in the weekly review.

Does the operator give medical advice?

No, never. The operator asks the questions your protocol lists, reassures the caller, and reaches the on-call provider or tells the caller to hang up and call emergency services if the situation sounds life-threatening. Operators on practice lines are HIPAA-trained staff under a BAA, and their notes are limited to what the provider needs. Diagnosis, medication questions and clinical judgment stay with your clinicians.

How is the on-call person reached, and what if they do not answer?

In the order and at the intervals you set. A common pattern is an immediate patch-through attempt, a text with the incident summary, a second call after a set number of minutes, then the next person on the roster, with every attempt timestamped. If the whole chain fails, the operator follows the fallback you approved, such as dispatching an approved vendor for a burst pipe or giving the caller a direct number. Nobody is left on hold indefinitely.

How do we keep the on-call roster current?

You send the rotation weekly, or share a calendar the desk reads, and changes go through a single channel so nothing is missed. The team lead confirms the roster each afternoon before the evening shift. Same-day swaps take a message to the desk and are confirmed back to you. Every roster change is logged, so if a page goes to the wrong person the record shows whether the roster or the operator was at fault.

Can the same line handle routine after-hours calls too?

Yes, and many clients combine them. The operator answers everything, escalates the emergencies and turns the rest into messages for the morning, so tenants or patients dial one number regardless. If your emergency volume is high enough that routine calls would slow it down, the two run as separate lines with separate staffing. The discovery call sizes it from your call history.
