How does after-hours answering work in Canada?

After-hours calls in Canada are rarely casual. A furnace fails in Winnipeg in January, a tenant in Ottawa finds water coming through a ceiling, a patient in Vancouver needs to know whether to wait until morning, a fleet driver breaks down outside Calgary. The caller needs a person and a clear next step. Our overnight desk is staffed rather than routed to voicemail, and the receptionist works from an escalation tree you write: who to call, in what order, for which situation, and what can safely wait. Routine calls become a message delivered before your first employee arrives. Urgent ones reach your on-call person by phone, with each attempt time-stamped in the escalation log. Statutory holidays differ by province, so the coverage calendar is built from your province's list rather than a national assumption. A bilingual virtual assistant is available on request for French callers. Recording notices, PIPEDA and Law 25 apply the same way overnight as they do at noon, and quotes are in CAD.

What is different about running this desk in Canada?

The same desk, run to the rules, hours and vocabulary of this market.

  1. Statutory holidays by province

Family Day exists in some provinces and not others, Quebec keeps Saint-Jean-Baptiste Day, British Columbia and Newfoundland have their own additions, and Boxing Day is treated differently across the country. The coverage calendar is built from your province's statutory list plus your own closures, loaded at the start of each year and confirmed at the quarterly review so nobody discovers the gap on the morning of the holiday.

  2. Winter and the escalation tree

Canadian after-hours volume spikes with weather. Heating failures, frozen pipes, road closures and storm damage all arrive at once, and an escalation tree written in July needs a winter version. We agree a cold-weather variant with wider urgency criteria and a second contact, so a technician is reached rather than a message being left for a business that will be shut for two more days.

  3. Overnight privacy and recording

PIPEDA applies at 2am exactly as it does at 2pm, and Quebec's Law 25 applies wherever your callers are in that province. Caller details go straight into your system, not a spreadsheet, under a processing agreement with multi-factor sign-in and managed devices. Where the overnight line is recorded, the greeting says so and the recording is retained for the period you set.

  4. What overnight cover costs in Canada

Canadian answering bureaus bill per minute or per call with overage rates on top, Canada-based virtual assistants publish C$25 to C$60 an hour, and managed offshore desks are advertised at US$699 to US$899 a month full time (Virtual Gurus, Wing and 2026 roundups).

How it works

  1. Match

The discovery call covers your closing and opening times, weekend and holiday calendar, the situations that count as urgent and who is on call. Within 72 hours we propose a named receptionist on the shift that maps to your night, plus a backup on the same rotation.

  2. Onboard

We build the escalation tree with you: which callers and situations get a patch-through, which get a call to the on-call person, which wait until morning. Your number forwards to the desk at close, either by schedule inside RingCentral or Dialpad or by a carrier rule, and it forwards back at open. Test calls run against every branch of the tree.

  3. Daily rhythm

The receptionist takes the line at close with the on-call roster for that night, answers and escalates through the shift, logs every call, and sends the morning handover before your first employee arrives: calls taken, escalations made, messages waiting, jobs booked.

  4. Weekly review

Twenty minutes with the team lead on overnight volume by hour, escalations that could have waited, callers the tree did not cover and the roster for next week. Each month the team lead scores recorded calls on the QA scorecard, with escalation accuracy weighted highest.

Frequently asked questions

How much does an after hours answering service cost in Canada?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, Canadian answering bureaus bill per minute or per call with overage on top, Canada-based virtual assistants publish C$25 to C$60 an hour, and managed offshore desks are advertised at US$699 to US$899 a month full time (Virtual Gurus, Wing and 2026 roundups). We quote in CAD for staffed hours rather than a meter that punishes a busy night.

Do you have overnight staff in Canada?

No. The overnight desk is staffed by employees of SS Support Network LLC working from the group's offices in Vancouver, Washington and a second office in Pakistan. Because those offices sit in different time zones, a Canadian night is somebody's ordinary working shift rather than a graveyard rotation, which is the main reason the calls are answered properly. We do not have a Canadian office and we do not use freelancers or an answering bureau behind the scenes.

How do you decide what is urgent?

You decide, and we write it down. The escalation tree lists the situations that always wake someone, the ones that wait until morning and the grey area with a question the receptionist asks to sort it. For property clients that usually means water, fire, gas, heat loss and lockouts; for clinics it means a defined symptom list with a firm instruction to direct callers to emergency services rather than give advice. The tree is reviewed quarterly.

How does the on-call person actually get reached?

By the sequence you set, with every attempt logged. The receptionist calls the first contact, waits the interval you specify, then moves to the second, then the third, and keeps the caller informed while it happens. If nobody answers the whole tree, the fallback instruction applies, whether that is a dispatch to an approved contractor, a text to a group or a final voicemail. The escalation log shows each attempt with a timestamp.

Will the overnight receptionist give medical or safety advice?

Never. Receptionists are trained to take details, follow your triage script and direct anyone describing an emergency to call 911 immediately. For clinics, the script separates administrative questions from clinical ones and routes clinical calls to your on-call clinician or your province's health line. The boundary is written into onboarding, tested during training and scored on the monthly QA review, because getting it wrong once is not recoverable.

Can overnight calls be booked straight into our schedule?

Yes, where your calendar allows remote access and you are comfortable with it. The receptionist books into Jobber, your practice system or a shared calendar against rules you set for job types, travel time and crew availability, then confirms with the caller and leaves a note for the morning. Clients who prefer control overnight have the receptionist take the details and hold the booking for your dispatcher to confirm at opening.
