How does the compliance admin desk work?

  1. Match

A 20-minute discovery call on what you must keep current, who holds it, where it is filed and who owns compliance decisions. Within 72 hours we propose a named administrator with experience in your sector's paperwork, plus a trained backup.

  2. Onboard

We build the register from your existing files, contracts and requirements list, confirm expiry dates against the documents, agree chase templates, escalation paths and your COI minimums, and set up the renewal calendar and filing structure.

  3. Daily rhythm

Your administrator works the calendar: reminders sent, documents chased by email and phone, received items checked and filed, register updated, overdue items escalated, and an end-of-day report of what moved and what is stuck.

  4. Weekly review

20 minutes with the team lead: items due in the next 30 days, overdue and missing items, chase results and any requirement changes you have been told about. Monthly, the team lead audits the register against filed documents on the QA scorecard.

Hours, coverage and models

AssistBPO staffs the compliance admin desk on 3 models. US, UK, Canadian and Australian business hours from the group's two offices, so phone chasing happens when your vendors and staff answer.

  • Dedicated compliance administrator, 80 or 160 hours a month, in your hours
  • Part-time block for smaller registers and seasonal renewal peaks
  • Project to build the register and clear a backlog of missing documents

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.

How much does compliance admin cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

What moves the plan

  1. Hours a week and whether the desk is dedicated or shared
  2. Phones: live answering needs a receptionist profile and a backup
  3. Coverage zone: business hours, after-hours, weekends or 24/7
  4. Tools and access to set up
  5. One person or a pod with a lead

Frequently asked questions

How much does a remote compliance administrator cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, offshore managed assistants are published at $7 to $15 an hour or $640 to $2,400 a month full-time, against $4,700 to $9,100 a month loaded for an in-house administrative hire (Wishup 2026). Hours depend on the size of the register and how many people and vendors need chasing each month.

Do you give compliance or legal advice?

No. The administrator tracks, chases, checks against the minimums you set and files. Whether a certificate is adequate, what a regulation requires, how to respond to an inspector or an insurer: those questions go to your compliance lead, broker, lawyer or licensed professional. We make sure they have the documents in front of them when they decide.

What can you track?

Anything with a date and a document: business and professional licenses, permits, certificates of insurance, vehicle registrations and inspections, driver medical cards, staff certifications and training, background-check renewals, vendor and subcontractor documents, policy acknowledgments, lease and contract renewal dates, and registration filings. The register is yours and lives in your system.

How do you chase subcontractors and vendors?

With templates you approve and a schedule tied to expiry dates: email first, then phone, then escalation to your project or operations manager. Every contact is logged. Certificates of insurance are checked against the minimums you give us, coverage types, limits, additional-insured wording, and anything short is flagged the same day rather than filed and forgotten.

Can you renew licenses and permits for us?

We can prepare the renewal, gather the documents and submit through the portal where you grant a scoped login and approve any payment inside your own account. Where a renewal must be signed or attested by a licensed person or an officer of the company, we prepare it and route it to that person. We never sign on your behalf.

Which industries is this built for?

Construction and trades with subcontractor packs; transportation, home care and NEMT with driver and vehicle files; insurance agencies with certificates and producer licensing; property managers and multi-site operators with per-location licenses; schools and care providers with staff clearances. The register is the same idea everywhere; the items and the chase lists change. During onboarding we start from your contracts and your insurer's requirements, so the register reflects what you actually have to hold rather than a generic list.

How is this different from HR admin?

HR admin looks after employee files, timesheets and onboarding for your own staff. Compliance admin looks after the business's own licenses and insurances, and the documents you need from vendors, subcontractors and clients. Many clients use both, often with the same assistant when volumes are modest. Both feed one weekly report, so the manager sees staff expiries and company renewals on a single page.

What happens when something is about to lapse and nobody responds?

It is escalated. Reminders go at 90, 60, 30 and 7 days; if the holder has not responded by the escalation point, the accountable manager is told the same day with the item, the risk and the contact history. The weekly report keeps a standing list of at-risk items so nothing expires quietly.

Is it the same person every week?

Yes. One named administrator learns your register, your vendors and who responds to what, which is most of the skill in chasing. A trained backup is briefed on the register and covers leave, and a team lead runs the weekly review and audits the register monthly on the QA scorecard.
