How does email management work in Canada?
An inbox is where a Canadian business quietly loses days. Supplier threads in two languages, a customer complaint sitting under a newsletter, a CRA notice buried behind forty unread messages, and the follow-up nobody chased because it lived in someone's head. Your assistant works it three times a shift on a routine you sign off: triage into the labels your decisions actually need, replies sent from approved templates in your voice, drafts saved where your judgment is required, and a tracker for every reply owed to you. They work the Eastern shift for Ontario, Quebec and Atlantic Canada or the Pacific shift for British Columbia and Alberta, so the inbox is handled during your day rather than reorganized overnight. French correspondence is flagged to you, or handled directly where a bilingual virtual assistant is on your account, which is available on request. Mailbox access is granted through your own admin console under a processing agreement, never by sharing a password. Quotes are in CAD.

What is different about running this desk in Canada?
The same desk, run to the rules, hours and vocabulary of this market.
Access without handing over a password
Access is delegated through Microsoft 365 or Google Workspace: a shared mailbox, delegate rights or a send-on-behalf permission your administrator grants and can revoke in a minute. The assistant signs in with their own credentials and multi-factor authentication, so every action is attributable in the audit log. Passwords are never shared, and if your IT policy needs a specific configuration we work to it before go-live.
CASL when a reply becomes a campaign
Replying to a customer, a supplier or an enquiry is not a commercial electronic message. Sending a newsletter, an offer or a re-engagement sequence is, and CASL then requires consent on record, your identification and a working unsubscribe honoured within ten business days. The assistant keeps the two activities apart and checks the consent field before anything goes to a list rather than a person.
Bilingual correspondence
Where your inbox receives French messages, a bilingual assistant is available on request and handles the thread in French. Where one is not yet on your account, the assistant labels the message, summarizes it for you in English and drafts nothing in French rather than sending machine translation under your name. Quebec correspondence often sets the tone for a relationship, so we treat it carefully.
What inbox support costs in Canada
Canada-based virtual assistants publish C$25 to C$60 an hour and executive assistants in Toronto and Vancouver reach C$75, while managed offshore assistants are advertised at US$699 to US$899 a month full time (Virtual Gurus, VantaStaff, Wing and 2026 roundups).

How it works
-
Match
A 20-minute call on your inbox: daily volume, the senders who matter, what you will never let anyone answer for you and the tone you write in. Within 72 hours we propose a named assistant with the writing sample to prove they can match it, plus a trained backup.
-
Onboard
We set up delegated access in Google Workspace or Microsoft 365, read your last 90 days of sent mail to learn your voice, build the label system and the first 15 reply templates, and agree the three triage times. The first week runs in draft-only mode so you can correct tone before anything goes out.
-
Daily rhythm
Three triage passes in your hours, priority alerts between passes for the senders you name, routine replies sent and judgment calls drafted, follow-ups chased on their due date, and an end-of-day report listing what was replied, drafted, filed and chased.
-
Weekly review
20 minutes with the team lead on volume, drafts you edited before sending, new templates worth adding and senders to promote or demote. Monthly, the team lead scores a sample of sent replies for tone and accuracy on the QA scorecard.

Frequently asked questions
How much does an email management virtual assistant cost in Canada?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, Canada-based virtual assistants publish C$25 to C$60 an hour, executive assistants in Toronto and Vancouver reach C$75, and managed offshore assistants are advertised at US$699 to US$899 a month full time (Virtual Gurus, VantaStaff, Wing and 2026 roundups). We quote in CAD for a named assistant for a block of hours, with the backup and team lead included.
Do you have assistants in Canada?
No. Assistants are employed by SS Support Network LLC and work from the group's offices in Vancouver, Washington and a second office in Pakistan, on shifts built around Canadian hours. They use Canadian spelling and date formats, know the difference between a CRA letter and a marketing email, and are trained on your escalation rules before touching a live inbox. We have no Canadian office and no freelancers. Say so at the first call if you need staff resident in Canada.
Do I have to give the assistant my password?
No, and we would decline if you offered. Access comes through delegation in Microsoft 365 or Google Workspace, so the assistant signs in as themselves with multi-factor authentication and your admin can revoke it instantly. Every send, move and delete carries their identity in the audit log. Shared mailboxes such as info@ or a Quebec-facing address work the same way, with permissions scoped to the folders and functions the role actually needs.
How does the assistant learn to write like me?
From your sent folder and from correction. In the first fortnight they read the threads you already handled well, build a template library from the replies you send most, and submit everything as a draft for your edit. Your edits are the training data. By week three most routine replies go out directly and only the judgment calls arrive as drafts. The template library is reviewed with you monthly so it does not drift.
What will the assistant never answer for me?
Anything you have not delegated in writing. The standing exclusions for most Canadian clients are pricing commitments, contract terms, legal or tax positions, staff matters, anything from a regulator or the CRA, and anything from a customer threatening action. Those are labelled, summarized and put in front of you the same shift. The exclusion list is written down in onboarding and revisited at the weekly review as trust builds.
Can the assistant handle our shared info@ inbox too?
Yes, and it is often the better place to start. Shared inboxes are where enquiries go stale because nobody owns them. The assistant triages, answers what the templates cover, routes the rest to a named person with a due date and chases anything that sits unanswered. You get a daily count of what arrived, what was handled and what is still open, which usually makes the case for a proper routing rule within the first month.
