Data entry services Canada, in local hours
AssistBPO's data entry services in Canada give you a named specialist who keys forms, invoices, CRM records and spreadsheet rows accurately, on the Eastern or Pacific shift, with a second check before anything goes live. The same person learns your fields and your rules, and quotes are issued in Canadian dollars.

How does data entry work in Canada?
Canadian data has small traps that cost hours later. Postal codes alternate letters and numbers and get typed as a single block, provinces arrive as Ont., ON and Ontario in the same file, dates land in three different orders, amounts arrive in a mix of Canadian and US dollars, and a Quebec address carries accents that a careless import strips. Your specialist is trained on all of that before touching production data, and the validation rules are written into the process rather than trusted to attention. Work runs on the Eastern shift for Ontario, Quebec and Atlantic Canada or the Pacific shift for British Columbia and Alberta, so a batch sent at the end of your day is often keyed by the time you open the file again. Unclear items are flagged with a note instead of guessed. Records stay in your systems under PIPEDA and, for Quebec information, Law 25, with a processing agreement, managed devices and least-privilege access. Quotes are in CAD with GST or HST shown separately.

What is different about running this desk in Canada?
The same desk, run to the rules, hours and vocabulary of this market.
Canadian formats, checked not assumed
Postal codes are keyed in the A1A 1A1 pattern with the space, provinces are normalized to the two-letter code, dates follow the format your system expects rather than the one on the document, and French accents are preserved through the import. A validation pass catches the rest. These rules go into a field map you approve in week one and are rechecked whenever a source document changes.
PIPEDA, Law 25 and where the data lives
Data stays in your systems. The specialist keys directly into your CRM, accounting file or database under a named account with multi-factor sign-in, works on a managed device with no local storage and cannot export. A processing agreement names the systems and the retention. Where records concern Quebec individuals, Law 25 expects a privacy impact assessment before information leaves the province, and we supply the inputs.
Tax and currency fields
GST, HST, PST and QST all behave differently by province, and a transaction keyed to the wrong tax code creates a reconciliation problem for your bookkeeper. The specialist keys the tax code shown on the source document, flags mismatches rather than correcting them, and keeps Canadian and US dollar amounts in their own fields so nothing is silently converted.
What back-office staffing costs in Canada
Canada-based virtual assistants publish C$25 to C$60 an hour, a data clerk hired locally carries provincial wage rates plus benefits and coverage for leave, and managed offshore back-office staff are advertised at US$699 to US$899 a month full time (Virtual Gurus, VantaStaff and 2026 roundups).
What does your assistant handle?
- Forms, applications and survey responses keyed into your database
- Invoices, receipts and bills entered into QuickBooks Online or Xero
- Leads, contacts and companies entered into your CRM with complete fields
- PDF and scanned documents converted into clean spreadsheet rows
- Product, price and inventory data entered across stores and sheets
- Validation rules applied on formats, required fields and lookups
- Second-person check on a sample or on every record, as agreed
- Duplicate search before any new record is created
- Exceptions flagged with a note instead of a guess
- Batch logs with counts, timestamps and who keyed what
- Backlog projects with a daily throughput target
- End-of-day report with volume, accuracy and open questions
Deliverables and KPIs
| Deliverable | KPI we report |
|---|---|
| Records keyed to the daily target | Volume against the agreed throughput per shift |
| Accuracy on the audited sample | Error rate on the sample size you set |
| Exceptions flagged, not guessed | Items raised and items resolved within the week |
| Duplicate prevention before creation | Duplicates created, target zero |
| Batch log with counts and timestamps | Every batch reconciled to the source count |
How it works
-
Match
A 20-minute discovery call on sources, systems, volumes and the fields that matter most. Within 72 hours we propose a named data entry specialist who has worked in your kind of system, plus a trained backup for leave and peaks.
-
Onboard
We document each entry type as a one-page SOP with screenshots, agree validation rules and what counts as an exception, set up least-privilege access in your systems and run a 50-record pilot that you check before volume starts.
-
Daily rhythm
Your specialist starts with the queue and the priority list, keys through the day in batches, checks a sample of their own work, flags exceptions with a note and sends an end-of-day report with counts, timestamps and anything waiting on you.
-
Weekly review
20 minutes with the team lead: throughput, error rate on the audited sample, recurring exceptions and next week's volume. Monthly, the team lead pulls a random sample and scores it on the QA scorecard.

Frequently asked questions
How much do data entry services cost in Canada?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, Canada-based virtual assistants publish C$25 to C$60 an hour, a locally hired data clerk carries provincial wage rates plus benefits and leave coverage, and managed offshore back-office staff are advertised at US$699 to US$899 a month full time (Virtual Gurus, VantaStaff and 2026 roundups). We quote in CAD for a named specialist on a shift, with the backup included.
Do you have data entry staff in Canada?
No. Specialists are employed by SS Support Network LLC and work from the group's offices in Vancouver, Washington and a second office in Pakistan, on shifts matched to Canadian hours. They are trained on Canadian address, postal code, date and tax formats before they touch production data. We do not operate a Canadian office and we do not use freelancers. If your contract or your client's contract requires processing inside Canada, tell us on the first call.
How accurate is the work?
Accuracy is a process, not a promise. The field map and validation rules are agreed in week one, a second person checks a sample or every record depending on what the data is worth, duplicates are searched before any new record is created, and anything unclear is flagged with a note rather than guessed. The error rate on the audited sample is reported weekly, and a rising rate triggers a review of the source documents before anyone blames the typist.
Can you clear a backlog and then keep it clear?
That is the usual shape of a Canadian engagement. The backlog is scoped as a project with a daily throughput target and a finish date, often with a second specialist for the duration. Once the queue is current, the same person moves to a maintenance routine that keys each day's batch within your turnaround. Keeping it clear costs far less than clearing it twice, so the plan usually steps down after the catch-up.
How do you handle handwriting, scans and messy PDFs?
Legible scans and native PDFs are keyed directly, with the specialist working from the document rather than an intermediate export. Poor scans and handwriting are attempted, and anything genuinely ambiguous is listed with the page reference for someone at your end to confirm. We do not let a specialist invent a digit in an amount or a letter in a postal code. Where volumes justify it, we discuss whether OCR with human checking is a better fit.
Can the work happen overnight so the queue is clear by morning?
Often, yes. A batch handed over at the end of the Eastern day is picked up on the shift that follows and is usually ready before your team logs in. The trade-off is that questions cannot be answered until your morning, so exceptions are listed rather than held. Clients who need live back and forth choose an overlapping shift instead, and we recommend one or the other based on how many queries the data actually generates.
