How does appointment setting work in Canada?

Canada has the strictest anti-spam law of the four markets we serve, and that changes how outbound is built here. CASL requires express or implied consent before a commercial electronic message goes out, implied consent from an existing business relationship expires after two years, and the penalties are real. So the first week of a Canadian campaign is spent on the list, not the script: sources checked, consent basis recorded per contact, expiry dates calculated and anything unsupportable removed. Calling lists are washed against the National Do Not Call List and your own suppression list, and dialling happens inside the hours the CRTC's Unsolicited Telecommunications Rules permit in the prospect's own province. Only then does the phone ring. Your setter works the Eastern or Pacific shift, uses your qualifying questions, books meetings with time zones handled correctly, and logs every outcome in HubSpot, Salesforce or Pipedrive. A bilingual setter for Quebec prospects is available on request. Reporting covers dials, conversations, meetings booked and meetings held.

What is different about running this desk in Canada?

The same desk, run to the rules, hours and vocabulary of this market.

  1. CASL before the first email

A commercial electronic message needs express consent, or implied consent from an existing business relationship that expires two years after the qualifying event. The setter records the basis, the source and the date on every contact, keeps proof of consent, honours an unsubscribe within ten business days and never works a purchased list. Where consent cannot be evidenced, the contact does not get an email, no matter how good the fit looks.

  2. National DNCL and CRTC calling rules

Calling lists are washed against the National Do Not Call List before each campaign and rewashed on the registry's cycle, with the screening date stored on the record. The CRTC's Unsolicited Telecommunications Rules set permitted calling hours by province, require the caller and the business to be identified and require a valid callback number. Business-to-business calls carry their own identification and record-keeping obligations.

  3. Selling into Quebec

Quebec prospects expect French, and the Charter of the French Language shapes commercial communications. A bilingual setter is available on request, with scripts and follow-up emails prepared in both languages. Where one is not yet on your account, Quebec contacts are held back rather than approached in English and burned, and we say that plainly before the campaign starts.

  4. What outbound staffing costs in Canada

Canada-based virtual assistants and sales support providers publish C$25 to C$60 an hour, inside sales hires carry provincial wage rates plus commission and benefits, and managed offshore setters are advertised at US$699 to US$899 a month full time (Virtual Gurus, VantaStaff, Wing and 2026 roundups).

How it works

  1. Match

A 20-minute discovery call on who you sell to, where the list comes from, what a qualified meeting means, your CRM and calendar setup and the markets you call into. Within 72 hours we propose a named setter with experience in your sector and an accent match for your prospects, plus a trained backup.

  2. Onboard

We write the script and objection guide with you, load and scrub the list, connect the dialer to your CRM and reps' calendars, set calling windows per market and run recorded practice calls until the team lead signs off. The first live campaign starts in week two.

  3. Daily rhythm

The setter works the list in permitted hours, logs every outcome in the CRM as it happens, books meetings with notes, sends confirmations for tomorrow and chases any no-shows from today. The end-of-day report shows dials, conversations, meetings booked and anything a rep needs to know before the morning.

  4. Weekly review

20 minutes with the team lead: meetings booked and held, conversation rate by list, objections heard most, script changes and next week's calling plan. Monthly, the team lead scores a random sample of recordings on the QA scorecard for script adherence, compliance and tone.

Frequently asked questions

How much do appointment setting services cost in Canada?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, Canada-based virtual assistants and sales support providers publish C$25 to C$60 an hour, an inside sales hire carries provincial wage rates plus commission and benefits, and managed offshore setters are advertised at US$699 to US$899 a month (Virtual Gurus, VantaStaff, Wing and 2026 roundups). We quote in CAD for a named setter on a shift, not per meeting booked.

Do you have setters in Canada?

No. Setters are employed by SS Support Network LLC and work from the group's offices in Vancouver, Washington and a second office in Pakistan, on shifts matched to your prospects' business hours in Canada. They are trained on CASL, the National DNCL and the CRTC rules before they dial a Canadian number. We do not have a Canadian office and we do not use freelancers. If a prospect asks where the setter is calling from, they get an honest answer.

How do you stay compliant with CASL?

By treating consent as a data problem first. Every contact carries the basis, the source, the date and, for implied consent, the expiry. Emails identify your business, include a physical address and carry an unsubscribe that is honoured within ten business days. Purchased lists are refused. If a campaign cannot be evidenced, we tell you before it runs rather than after a complaint. Your own legal or privacy contact signs off the consent model at the start.

Where do the lists come from?

Usually from you, and that is the cleanest path: existing customers, lapsed accounts, event registrations, inbound enquiries and referrals all carry a defensible consent basis. Where you want new names, the setter researches and builds a list from public business sources for calling only, keeps it separate from any email program, and screens it against the DNCL and your suppression list. We do not buy contact lists and we do not import someone else's.

What counts as a qualified meeting?

Whatever you define at the start, written into the script and scored on every booking. Most Canadian clients use a version of budget, authority, need and timing, with one or two disqualifiers of their own such as company size, province or existing vendor contract. The setter records the answers in the CRM so a rep sees why the meeting exists before joining. Meetings that fail your definition are not counted in the weekly number.

Can the setter work Quebec prospects in French?

A bilingual setter is available on request. French-first prospects are marked in the list and approached in French from the first touch, with scripts, voicemail wording and follow-up emails prepared in both languages rather than translated in the moment. Where a bilingual setter is not yet on your account, Quebec contacts stay out of the campaign instead of being worked badly in English, and we say so before the plan is signed.
