How does email management work in the United Kingdom?
Inbox management is the first thing UK owners hand to a virtual PA and the thing they are most nervous about. The nerves usually come from Outlook: shared mailboxes, delegated access, a firm's rules about who may send as whom. We handle that on day one. Your assistant is set up as a delegate in Microsoft 365 or Google Workspace, never given your password, and works the inbox from 8am to 6pm on GMT or BST. Week one is triage only. From week two the assistant sends routine replies in your voice, drafts the rest for a one-click approve, chases suppliers and clients who owe you a response, and files newsletters where they cannot interrupt you. Anything from your bank, HMRC, a solicitor or HR is left for you by rule. Marketing email is separate: it needs PECR consent or the soft opt-in, and the assistant will not send a campaign from your inbox without it. Delegated access in Microsoft 365
Most UK firms run Outlook. Your assistant is added as a delegate with send-on-behalf or send-as rights, whichever you choose, so the audit trail shows who sent what. Shared mailboxes such as info@ and accounts@ are added as separate delegations with their own rules.
PECR and the soft opt-in
A reply to a customer is not marketing. A newsletter or offer is, and needs consent or the soft opt-in for existing customers under PECR, plus an unsubscribe. The assistant keeps the two apart and never adds a contact to a list without a recorded basis.
Subject access and HMRC letters
Requests for personal data, HMRC correspondence, anything from a solicitor and anything marked confidential are flagged to you within the hour and never answered by the assistant. The always-escalate list is part of the brief and grows as you add names.

Do you have staff in the UK?
No. Your assistant is an employee of the group working UK hours from our offices in Vancouver, Washington and a second office in Pakistan. The shift runs 8am to 6pm on GMT or BST, so your inbox is being worked while you are in meetings and is clear when you sit down at the end of the day. We do not have a UK office and we do not place freelancers. Assistants are trained on British English, UK business etiquette and the way a firm signs off an email before they take a UK inbox.
Do I have to give the assistant my password?
No, and we would decline it. In Microsoft 365 you add the assistant as a delegate on your mailbox and any shared mailboxes, with send-on-behalf or send-as rights as you prefer. In Google Workspace you grant delegated access from settings. Either way the assistant has an individual login with MFA that you can remove in a minute, and message headers show who sent each email. The data processing agreement with the international data transfer addendum covers the access in writing.
How do you learn to write the way I do?
From your sent folder. In the first week the assistant reads your last few hundred replies, builds a short style note with the team lead, and drafts rather than sends. You mark up the drafts, the note is updated, and by week two the routine replies go out without you. British spelling, your sign-off, how you address a client versus a supplier, when you use a first name: all of it lives in the note, and the monthly QA scorecard checks a sample of sent replies against it.
Can the assistant run our shared info@ and accounts@ inboxes too?
Yes. Shared mailboxes are the most common UK add-on. Each one gets its own delegation, its own folder rules and its own list of what may be answered and what must be forwarded: a supplier statement to your bookkeeper, a job application to HR, a complaint to you. Response targets are set per mailbox, and the end-of-day report shows the counts for each so you know the general enquiries were answered and the accounts queries were passed on before 6pm.
What will the assistant never answer for me?
Anything on the always-escalate list, which starts with your bank, HMRC, your accountant, solicitors, HR matters, anything about pricing you have not approved, and anything that reads like a complaint or a data request. Those are flagged to you within the hour with a one-line summary and left unanswered. You add names and topics to the list at any time, and the backup assistant works from the same list, so the rule holds on the days your usual assistant is off.
