Bookkeeping virtual assistant UK, in local hours
AssistBPO's bookkeeping virtual assistant for UK businesses handles the daily entries, receipts, bills and sales invoices that keep Xero or QuickBooks Online current, in UK hours, with LedgerBPO, our accounting sister brand, doing the reconciliations and month-end behind them.

How does a bookkeeping assistant work in the United Kingdom?
UK bookkeeping runs on a calendar of VAT quarters, Making Tax Digital rules and an accountant who asks for the same missing receipts every quarter. The assistant's job is to make that quarter quiet. You get one named, employed bookkeeping assistant working 8am to 6pm on GMT or BST inside your Xero or QuickBooks Online: bank feed transactions coded to your chart of accounts with the right VAT treatment, purchase bills captured from email and your receipt app, receipts chased from staff, sales invoices raised on the dates you set and credit control emails sent on the schedule you approve. Behind the assistant, LedgerBPO reconciles the bank, reviews the VAT position and closes the month, so the books are ready for your accountant or agent to file. We do not file: your accountant or agent submits the VAT return under MTD, and HMRC correspondence goes to you. Financial records are processed under a UK GDPR agreement with the international data transfer addendum. Quotes are in GBP for a block of hours.

What is different about running this desk in the United Kingdom?
The same desk, run to the rules, hours and vocabulary of this market.
Making Tax Digital
VAT-registered businesses keep digital records and file through MTD-compatible software. The assistant keeps Xero or QuickBooks current with a digital link from source to return, and your accountant or agent files. Nothing is submitted to HMRC by AssistBPO.
VAT treatment on entries
Standard, reduced, zero-rated, exempt and reverse charge are coded from your rules, with EU and rest-of-world suppliers handled correctly after Brexit. Queries go on a weekly list for your accountant rather than being guessed.
Credit control, the UK way
Late payment is the UK small-business problem. The assistant sends statements and polite chasers on the schedule you approve, logs promises to pay, and flags anything past 60 days for you to decide on interest under the Late Payment Act or a stop on supply.
UK bookkeeping benchmarks
UK virtual PA rates run £25 to £45 an hour, PayScale puts employed assistants at £15.33 an hour, and offshore managed full-time staff are advertised at £900 to £2,000 a month against £3,000 to £5,000 for a UK-based hire (PayScale, SVA and 2026 agency price lists).

How it works
-
Match
A 20-minute discovery call on your accounting platform, transaction volume, billing cycle and who your accountant is. Within 72 hours we propose a named bookkeeping assistant tested on QuickBooks Online or Xero, plus a trained backup.
-
Onboard
With you and your accountant or LedgerBPO, we set the coding rules, receipt capture channels, invoice templates, chase schedule and approval limits, get an appropriate user role in your accounting file and run a first week under close review.
-
Daily rhythm
Your assistant captures receipts and bills, codes the bank feed, raises and sends invoices due that day, matches payments, sends scheduled reminders and closes with an end-of-day report of entries, invoices and anything needing your answer.
-
Weekly review
20 minutes with the team lead: uncoded items, receivables ageing, open queries and next week's billing. Monthly, coding accuracy is scored on the QA scorecard and the open-item pack goes to LedgerBPO or your accountant for reconciliation and close.

Frequently asked questions
How much does a bookkeeping virtual assistant cost in the UK?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, UK virtual PA agencies publish £25 to £45 an hour, PayScale puts an employed UK assistant at £15.33 an hour, and offshore managed full-time staff are advertised at £900 to £2,000 a month against £3,000 to £5,000 for a UK-based hire (PayScale, SVA and 2026 agency price lists). Most UK ledgers need a part-time block quoted in GBP; the LedgerBPO reconciliation and month-end review is part of the same plan rather than a separate invoice.
Do you have bookkeeping staff in the UK?
No. Bookkeeping assistants are employees of the group working UK hours from our offices in Vancouver, Washington and a second office in Pakistan, and LedgerBPO's accountants sit in the same group. Your assistant works 8am to 6pm on GMT or BST inside your Xero or QuickBooks, so a query about a transaction is answered while you are at your desk. We do not have a UK office and we do not use freelancers. The filing itself stays with your UK accountant or agent, who knows HMRC and your history.
Do you file our VAT return?
No. Your accountant or agent files the VAT return through MTD-compatible software; AssistBPO and LedgerBPO keep the records that make it a five-minute job. The assistant codes every transaction with its VAT treatment during the quarter, LedgerBPO reconciles and reviews the VAT position at the end, and the accountant receives a clean ledger and a short list of anything unusual. The same applies to corporation tax, self assessment and Companies House filings: prepared records from us, submissions from your accountant.
What does LedgerBPO do and what does the assistant do?
The assistant does the daily work: coding the bank feed, capturing bills and receipts, raising sales invoices, chasing debtors and answering the accountant's queries. LedgerBPO, the group's accounting brand, does the accountant's-eye work: bank and credit card reconciliations, VAT review, fixed asset and prepayment schedules, month-end close and management accounts if you want them. You see one plan, one team lead and one end-of-day report; the split is there so entry-level tasks and review tasks are done by the right people.
Which accounting platforms do you work in for UK clients?
Xero and QuickBooks Online are the two we staff daily, with FreeAgent, Sage Business Cloud and KashFlow covered where a client already uses them. Receipt capture runs through Dext, Hubdoc or the platform's own app; invoicing through the platform or your job system; payments through GoCardless or Stripe feeds. Assistants hold an adviser or standard user seat in your file with their own login, so the audit trail shows who coded what, and your accountant keeps their own access unchanged.
Can the assistant chase overdue invoices?
Yes, on a schedule you approve. A statement on the first of the month, a friendly reminder a week before due, a firmer one at seven days overdue, a phone call at 30 days, and an escalation to you at 60 with the option to add statutory interest and compensation under the Late Payment Act. Promises to pay are logged, disputes are flagged so a genuine query is not chased as a debt, and the weekly report shows debtor days by customer. The assistant does not act as a collection agency and never threatens legal action.
