How does cRM management work in the United Kingdom?

A UK CRM has to carry more than names and deal values. It has to record the lawful basis for every contact, whether a number is on the TPS or CTPS, when consent was given and for what, and when a record should be deleted under your retention policy. Our CRM desk builds that in and then keeps it. Your assistant is an employee of the group, trained on your CRM and your sales process, and works from 8am to 6pm on GMT or BST. The first month is usually a clean-up: duplicates merged, dead deals closed, UK addresses and postcodes standardised, missing fields filled from email history, consent flags added. After that the routine takes over: new leads assigned within the hour, stages moved on rep updates, sequences built and paused when a contact opts out, and a pipeline report ready before the Monday sales meeting. Every change sits in the CRM's own audit trail, under a UK GDPR processing agreement with the international data transfer addendum. Quotes are in GBP.

What is different about running this desk in the United Kingdom?

The same desk, run to the rules, hours and vocabulary of this market.

  1. Consent and lawful basis fields

Each contact record carries the lawful basis, the source, the date and the channel the consent covers. The assistant adds these properties if your CRM lacks them and fills them from the email or form the contact came in on, so PECR checks take seconds rather than a search.

  2. TPS and CTPS flags

Before any calling sequence runs, the assistant screens the list against the TPS and Corporate TPS and stores the result and date on the record. Opt-outs from any channel are applied to every channel the same day.

  3. Retention and deletion

UK GDPR expects you to keep data no longer than needed. The assistant runs your retention rules monthly, flags records due for deletion, and archives or removes them on your sign-off, with a log of what went.

  4. UK CRM staffing context

UK virtual PA agencies publish £25 to £45 an hour, PayScale puts employed assistants at £15.33 an hour, and offshore managed full-time staff are advertised at £900 to £2,000 a month against £3,000 to £5,000 for a UK-based hire (PayScale, SVA and 2026 agency price lists).

What does your assistant handle?

  • Daily logging of calls, emails, meetings and next steps per deal
  • Deal stages, amounts and close dates chased and corrected
  • Duplicate detection and merging across contacts, companies and deals
  • Required-field audits so reporting and automations do not break
  • Contact and company enrichment from your own sources
  • List segmentation, static and dynamic, for campaigns and territories
  • Email sequences and workflows built, tested and documented
  • Lead scoring rules maintained and reviewed with your sales lead
  • Consent, opt-out and do-not-call status recorded on every record
  • Pipeline, activity and source reports rebuilt each week
  • Dashboard for the sales meeting, refreshed before it starts
  • Change log of every bulk edit, import and merge the assistant runs

How it works

  1. Match

A 20-minute discovery call on which CRM you run, how many records and users sit in it, what your deal stages mean, which reports your leadership actually reads and what is broken today. Within 72 hours we propose a named assistant who has worked in your CRM daily, plus a trained backup.

  2. Onboard

Week one is an audit: record counts, duplicate rate, empty required fields, dead deals, broken workflows and unsubscribed contacts still in sequences. You get the findings as a short list with a fix order. The assistant gets a user account with the permissions you choose, then works the list from the top.

  3. Daily rhythm

The assistant logs activity as it happens, chases reps for missing next steps, merges duplicates found that day, clears workflow errors and updates any deal that moved. The end-of-day report shows deals updated, records merged, fields filled and anything a rep needs to confirm before tomorrow.

  4. Weekly review

20 minutes with the team lead: pipeline hygiene score, duplicate and completion rates, sequence performance, workflow errors and the clean-up target for next week. Monthly, the team lead audits a sample of records and bulk edits against the change log to check nothing was overwritten.

Frequently asked questions

How much does a CRM virtual assistant cost in the UK?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, UK virtual PA agencies publish £25 to £45 an hour, SVA surveys cluster freelance rates around £28 to £35, PayScale puts an employed UK assistant at £15.33 an hour, and offshore managed full-time staff are advertised at £900 to £2,000 a month (SVA, PayScale and 2026 agency price lists). AssistBPO quotes in GBP for a named assistant for a block of hours; a clean-up month with a second person is priced as a short project inside the same plan.

Do you have CRM staff in the UK?

No. Your assistant is an employee of the group working UK hours from our offices in Vancouver, Washington and a second office in Pakistan. The shift runs 8am to 6pm on GMT or BST, so leads that arrive during your day are assigned during your day. Assistants are trained on UK address formats, PECR and the TPS before they take a UK CRM. We do not have a UK office and we do not use freelancers, so the person who cleaned your data is the person who keeps it clean.

Which CRMs do you work in for UK clients?

HubSpot, Salesforce, Zoho CRM, Pipedrive and GoHighLevel are the ones we staff most, with Follow Up Boss for property teams and Clio Grow for law firms. Assistants hold their own user seat in your account, so every edit is attributed and can be reversed. Integrations with Xero, Mailchimp, Calendly and your phone system are maintained through native connectors or Zapier. If you are moving from spreadsheets or an older system, the migration is scoped as a first-month project with a field map you approve.

Can the assistant build automations and sequences?

Yes, within the rules. Lead routing, task creation, stage-change notifications and email sequences are built in your CRM's native tools and tested on a sandbox contact before going live. Every sequence carries an unsubscribe and checks the consent field before enrolling a contact, so a PECR breach cannot be automated by accident. The assistant documents each workflow in a shared note with its trigger, steps and owner, and reviews the list with you quarterly to retire anything the team no longer uses.

How do you handle data protection inside the CRM?

With the CRM's own controls plus the paperwork. Access is an individual seat with MFA, exports are disabled for the assistant's role, and personal data stays in your system under a UK GDPR processing agreement with the international data transfer addendum. Consent, lawful basis and screening dates live on the record. Subject access and erasure requests that reach the assistant are flagged to your privacy owner the same day, and retention rules are run monthly with a deletion log you sign off.

What does the Monday report look like?

One page, in your CRM's reporting tool or a shared sheet, sent before your sales meeting. Pipeline by stage and owner with movement since last week, new leads by source, deals with no activity for 30 days, sequences running and their reply rates, and a short list of records the assistant could not complete without a rep's input. The format is agreed in the first month and kept stable so the team can compare week to week. Ad hoc reports for a board meeting are turned around within the shift.
