Why do Nextiva users need a virtual assistant?
Nextiva sells itself as one place for every customer conversation: voice, text, live chat, email, social and reviews in a single app. That only pays off if a person is in the app. What happens instead is that the phone gets answered when someone is free, the SMS thread from a customer sits unread behind a tab, the Google review from Saturday is still unanswered on Wednesday, and Call Pop shows the account value and last interaction to nobody. The auto attendant menu is another problem. Nextiva gives you Business Hours and After Hours menus and proper holiday schedules, and most accounts never touch them after setup, so callers hear office hours on a public holiday. An assistant is the person the platform assumes you have. They work the queue and the inbox together, answer with the Call Pop context already read, reply to texts and reviews in your voice, and keep the routing in NextOS honest.
What can a virtual assistant do inside Nextiva?
- Call groups and queues
- Answers as a member of your call groups and contact center queues in the hours you buy, follows the ring pattern your admin set, takes messages that reach the right person and calls back everyone who dropped out of the queue.
- Call Pop context
- Reads the Call Pop before the greeting: who is calling, the last interaction, the experience score and any survey response, so the caller is not asked to repeat a complaint they already made last week.
- Auto attendants and schedules
- Keeps the Business Hours Menu, After Hours Menu, schedules and holiday schedules under Advanced Routing correct, re-records prompts when your hours or departments change and tests each option from an outside line.
- Business SMS
- Answers texts on your Nextiva number from approved templates, sends appointment confirmations and reminders with lawful consent and do-not-call scrubbing, honors STOP immediately and keeps your 10DLC registration details on file.
- Reviews and social messages
- Works the reviews and social inbox daily, thanks the good ones, answers the bad ones with your approved wording and escalates anything naming a member of staff or a safety issue before replying.
- Voicemail and callbacks
- Clears voicemail-to-email and transcriptions every morning, calls back in the order you set rather than the order they arrived, and books what can be booked while the caller is still on the phone.
- CRM logging
- Logs the call, text or review thread against the contact in HubSpot, Salesforce or Zoho CRM with outcome and next step, and creates the follow-up task for whoever owns the account.
- Voice analytics and reporting
- Pulls answer rate, abandoned calls, average handle time and queue wait times from Nextiva analytics each week, adds a line on what moved and flags the hours where coverage is thin.
Integrations we handle
-
Nextiva and HubSpot
Calls, texts and outcomes land on the contact timeline through the Nextiva integration, with the follow-up task created for the owner before the assistant moves on.
-
Nextiva and Salesforce
Logs calls on leads, accounts and cases with disposition and next step so the Call Pop on the next inbound call actually has something useful to show.
-
Nextiva and Zoho CRM
Click to dial from the record, then call notes and next actions written straight back to Zoho for teams running their whole pipeline there.
-
Nextiva and Zendesk
Turns support calls and texts into tickets, updates existing tickets when the same customer calls again and keeps the channel history in one thread.
-
Nextiva and eClinicalWorks
For practices on the Nextiva healthcare integration, the assistant works from the schedule with HIPAA-trained staff and a BAA in place before any patient call.
-
Nextiva and Microsoft Teams
Reaches staff who live in Teams all day, checking availability before a transfer and posting urgent callbacks to the channel that gets read.
