Why do eClinicalWorks users need a virtual assistant?

In most eClinicalWorks practices the telephone encounter queue is the honest measure of how the front office is doing. Refill requests, results questions, scheduling calls, forms, insurance changes: they arrive faster than a two-person desk can close them, and by Thursday the oldest one is five days old and the patient has called twice. The same pressure shows up in the billing module, where rejections wait and open encounters pile up because nobody has an uninterrupted hour. An assistant is that hour, every day. They close telephone encounters, book and confirm, verify coverage, chase authorizations and work rejections, while your in-office staff take care of the people at the window.

What can a virtual assistant do inside eClinicalWorks?

Telephone encounters
Opens, actions and closes telephone encounters in your queues, routes clinical items to the right provider or nurse and keeps the oldest item in the queue under your agreed age.
Resource scheduling
Books, reschedules and cancels across provider and resource columns using your visit types, and works the wait list when a slot opens.
Eligibility and patient demographics
Runs eligibility ahead of the visit, updates subscriber and plan details in the Patient Hub and clears the failures returned by the batch check.
Prior authorization
Submits and chases authorization requests for imaging, procedures and specialty referrals, and records the number, units and expiry against the order.
Claims, rejections and denials
Works the rejection and denial worklists, corrects registration, coverage and modifier issues within your rules, resubmits and escalates true coding questions.
ERA posting and patient statements
Posts remittances, reconciles unapplied amounts as your biller directs, and sends patient statements on your cycle with courteous balance follow-up.
Referrals and documents
Sends outgoing referrals, tracks incoming ones, and indexes faxes and results into the chart with correct patient, date and document type.
Patient portal and reminders
Answers administrative portal messages, sends appointment reminders and recall outreach, and works no-show and cancellation lists the same day.

Frequently asked questions

What does an eClinicalWorks virtual assistant do day to day?

They open the telephone encounter queue first and work it oldest to newest, closing the administrative items and routing clinical ones with a clear note. Next is the schedule: tomorrow confirmed, cancellations backfilled, eligibility run for the week ahead and failures fixed. Midday goes to authorizations, because payers are quickest then. Afternoons are rejections, resubmissions, posting and document indexing. Before signing off they check no-shows from today and rebook them. The end-of-day report shows encounters closed, appointments booked, authorizations obtained and claims corrected.

Do you have eClinicalWorks certified assistants?

Assistants on our medical desk are trained on eClinicalWorks before they touch a live database: telephone encounters, resource scheduling, the Patient Hub, eligibility, authorizations, the billing and rejection worklists, document indexing and portal messaging. That training is ours and it is internal. We do not claim eClinicalWorks vendor certification for our staff, and AssistBPO holds no partner, reseller or affiliate status. On privacy, no vendor or government body certifies a company as HIPAA compliant, so we do not claim it. We provide HIPAA-trained staff, a signed BAA and minimum-necessary access.

How much does an eClinicalWorks virtual assistant cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. A dedicated medical admin is priced per person for a monthly block of hours in your time zone, not per encounter or per claim, so a heavy denial month does not move the number. Your eClinicalWorks license, hosting and clearinghouse fees stay with the practice and are billed by those vendors directly. Practices usually begin with the telephone encounter queue and scheduling, then add billing hours once the front end is under control.

How do you protect patient information?

A business associate agreement is signed before access is granted. Assistants complete HIPAA training at onboarding and every year after, and work from managed company devices with encryption, multi-factor authentication, automatic screen locks and no local downloads of patient information. User roles are set to minimum necessary: the facilities, providers and modules required for the assigned work. Background checks and confidentiality agreements precede hire. Assistants are employed, managed staff of the group, not freelancers, and access is revoked the day a person or engagement changes.

Can the assistant handle refill requests and clinical questions?

They handle the administrative wrapper around them and nothing clinical. A refill telephone encounter is checked for the right pharmacy, the last fill date and the correct provider, then routed to your nurse or prescriber for the decision. Results questions are acknowledged and passed on. Triage, advice, dosage and anything requiring clinical judgment stays with licensed staff. We write this boundary into the script during onboarding, and the team lead samples encounters monthly on the QA scorecard to confirm it is being followed.

How do we give the assistant access safely?

Your administrator creates a named eClinicalWorks user with a security role limited to the modules and facilities you are delegating. The assistant connects through whatever secure path your practice already uses, commonly a remote session into your hosted environment, and signs in with multi-factor authentication from a managed device. Nothing is installed on your servers and no database copy leaves your environment. Because the login is named, your audit log shows exactly what was viewed and changed, and the account can be disabled immediately.
