Why do Grasshopper users need a virtual assistant?
Grasshopper is not a phone system in the usual sense. It is a business number, a greeting and a set of extensions that forward to phones people already carry. That is exactly why it suits a solo attorney, a trades business or a two-person startup, and exactly why calls get missed. The number forwards to a cell that is in a meeting, on a roof or driving. Voicemail piles up, the Instant Response text goes out and nobody follows it, and the unified inbox fills with threads that were never answered. Grasshopper also has no CRM connection and no API, so nothing is recorded anywhere unless a person records it. An assistant is the fix for both halves. They hold an extension, answer in your business name, work the inbox thread by thread, return voicemail, reply to texts, book the consultation, and write the call into the software you actually run your business in.
What can a virtual assistant do inside Grasshopper?
- Extensions and call forwarding
- Takes an extension of their own with calls forwarded to them first, so your number is answered by a trained person rather than rolling through to the phone in your pocket.
- Main greeting and extensions
- Writes and records the main greeting and department extensions in your voice, updates them for closures and holidays, and checks the menu reads correctly from an outside line.
- Unified inbox
- Works the activity feed for each number thread by thread, so a call, a text and a voicemail from the same contact are handled once and closed rather than left sitting unread.
- Voicemail transcription
- Reads the Voice-to-Text transcript each morning, returns the calls in priority order and writes the message into your calendar, CRM or case file within the same shift.
- Business texting
- Replies to texts on your business number from approved templates and sends confirmations and reminders with lawful consent and do-not-call scrubbing, logging opt-outs the same day.
- Instant Response
- Keeps your automatic missed-call text current inside the 160 character limit, then does the part most owners never get to, which is calling the person back the text promised to.
- Virtual fax
- Receives and files inbound faxes, sends the ones you approve, and keeps a log so a signed form is never lost somewhere between an inbox and a desk.
- Call logs and manual CRM entry
- Grasshopper does not push data anywhere, so the assistant enters every caller, call and outcome into your CRM or case management system by hand, the same day it happened.
Integrations we handle
-
Grasshopper and HubSpot
Grasshopper sends nothing to a CRM, so the assistant creates the contact, logs the call and sets the follow-up task in HubSpot by hand after each conversation.
-
Grasshopper and Google Workspace
Checks the calendar before promising a time, books the appointment while the caller is on the line and sends the confirmation from your own domain.
-
Grasshopper and Calendly
Texts the right booking link straight after a call, or books the slot for the caller when they would rather not click anything at all.
-
Grasshopper and Clio
Runs a new caller through your intake questions and conflict check, then opens the matter and files the call note, which is a record Grasshopper will never create.
-
Grasshopper and Jobber
Turns a call about a leak or a quote into a request with the address, access notes and preferred window, then confirms the visit by text.
-
Grasshopper and QuickBooks Online
Takes billing questions off your line, finds the invoice and sends the copy or payment link rather than reading card details onto a call.
