How does a virtual assistant work for home care & NEMT?
SS Support Network, our sister healthcare brand, has run healthcare phones and NEMT intake since 2020, and your coordinator is supervised by that desk. A typical day opens with the EVV exception list in AxisCare or WellSky, then the authorization report: which Medicaid waiver or LTC insurance authorizations expire in 30 days and which clients are close to their hour limits. Mid-day is credentials and records: TB tests, CPR cards, driver licenses and vehicle inspections coming due. Afternoons go to referral follow-ups, supervisory visit reminders for the RN and the trip logs for broker billing. Anything clinical goes to your nurse by protocol. The end-of-day report lists what was handled and what needs you.
What tasks does a virtual assistant cover for home care and NEMT agencies?
- Work the daily EVV exception list so visits verify and bill
- Track authorizations by hours used and expiry and request renewals 30 days ahead
- Chase caregiver and driver credentials before they lapse
- Acknowledge referrals the same day and confirm start of care to the source
- Log family check-in calls and route care concerns to the RN supervisor
- Send supervisory visit and reassessment reminders to the clinical team
- Reconcile trip logs against broker manifests for billing
- Send the weekly report: fill rate, EVV compliance, authorizations, on-time trips
