What is a pipeline?

What is a pipeline? A pipeline is the set of open opportunities a business is working, arranged by the stage each one has reached, from first contact through to a signed deal. It shows what is likely to close and when, reveals where deals stall, and its total value is the standard sales forecast.

How does a pipeline work?

  1. Stages are named for what the buyer has done, such as quoted or proposal sent, not for how the seller feels.
  2. Every opportunity carries an owner, a value, an expected close date and a next action with a date.
  3. Deals that sit in one stage past an agreed number of days are flagged for a decision rather than left open.
  4. Forecast value is the sum of open deals, usually weighted by stage, and is reviewed on a fixed weekly rhythm.
  5. Closed deals are marked won or lost with a reason, which is what makes next quarter's forecast better.

A worked example

A commercial cleaning company in Oregon had 60 open quotes in a spreadsheet and no idea which were live. An assistant rebuilt the list in the CRM with four stages: site visit booked, quote sent, decision due, won or lost. Anything with no activity for 14 days went on a chase list she worked every Tuesday. Within six weeks the pipeline showed 22 genuinely live quotes instead of 60 hopeful ones, and the owner stopped forecasting off wishful thinking.

Where does a pipeline show up in your tools?

Pipelines are boards or lists in HubSpot, Pipedrive, Salesforce and Zoho CRM, or in Follow Up Boss for real estate teams. Deal-stage automation can set the follow-up task, but a person still has to decide when a stale deal is really dead.

Common mistakes

  • Keeping dead deals open because closing them lost makes the forecast look worse this week.
  • Using stages that describe internal activity instead of buyer commitment, which makes the forecast meaningless.
  • Leaving opportunities with no next action, which is the same as leaving them with no owner.

Why does a pipeline matter?

A pipeline is a small business owner's clearest view of the next 90 days of revenue, and it is only as truthful as the last update. Kept current, it shows where to spend selling time and which quotes are worth one more call. Kept badly, it is a list of things that once felt promising.
