What is CRM?

What is CRM? A CRM, or customer relationship management system, is the software where a business keeps its contacts, companies, deals, conversations and next steps in one place. It records who said what and when, shows the stage each opportunity has reached, and prompts the follow-up so nothing depends on somebody's memory.

How does CRM work?

  1. Every lead, customer and company gets one record, created the moment the first conversation happens.
  2. Calls, emails, meetings and notes attach to that record, so history survives when a salesperson leaves.
  3. Deals move through named stages with an owner, a value and a next action with a date on it.
  4. Lists and filters drive the daily work: today's follow-ups, deals with no activity in 14 days, new leads unassigned.
  5. Reports roll the records up into pipeline value, conversion by source and activity by person.

A worked example

A commercial roofing company in Missouri ran quoting from three estimators' inboxes. Quotes over $20,000 were going cold because nobody owned the follow-up. An assistant moved every open quote into a CRM with the value, the decision date and an owner, then set a task three days after each quote was sent. In the first quarter the company recovered four jobs that had simply been forgotten. The estimators now log the call before they leave the parking lot.

Where does CRM show up in your tools?

Common systems are HubSpot, Salesforce, Zoho CRM and Pipedrive for general business, Follow Up Boss and kvCORE for real estate, and GoHighLevel for agencies. Email and calendar sync, a phone integration and a web form feeding the records are what make a CRM the system of record.

Common mistakes

  • Buying a CRM and leaving the data in inboxes and spreadsheets, so the reports are wrong and nobody trusts them.
  • Adding 30 custom fields nobody fills in, instead of the six that drive a decision.
  • Closing deals as lost with no reason recorded, which throws away the most useful data in the system.

A CRM is where a small business stops relying on the one person who remembers everything. It makes follow-up a scheduled task rather than good intentions, and it survives vacations and resignations. Its value is entirely a function of whether the records get updated, which is why the data work matters more than the software choice.
