How does a dashboard work?
- Agree on five to eight numbers that would change a decision if they moved, and define exactly how each is calculated.
- Identify the source system for each number and how it will be pulled: a connector, an export or a manual entry.
- Design one screen with the number, its target, the trend and the comparison period, and nothing decorative.
- Set the refresh rhythm and the person responsible for checking that the data arrived and looks right.
- Review the dashboard in the weekly meeting and remove any tile nobody has discussed in a month.
A worked example
The owner of a three-location physical therapy practice was getting six different reports by email every Monday and reading none of them. An assistant met with her to pick seven numbers: new patient calls, booking rate, no-show rate, visits per week, claims outstanding, collections and online reviews. She built a Looker Studio page fed by the phone system export, the scheduling software and a Google Sheet the billing team updates each Friday. Every Monday at 8am the owner opens one link, sees the week against target, and the assistant has already added a two-line note on anything that moved.
Where does a dashboard show up in your tools?
Dashboards are built in Looker Studio, Google Sheets, Airtable interfaces, Power BI or the reporting screens inside HubSpot, Shopify and Zendesk. Zapier and Make often carry numbers from tools that lack a native connector into the sheet behind the dashboard.
Common mistakes
- Putting 30 metrics on one screen, so nothing stands out and nobody looks.
- Showing numbers without targets or a prior period, which makes it impossible to tell good from bad.
- Letting the data feed break silently, so the dashboard shows last month's figures with today's date.
