What is data entry?

What is data entry? Data entry is the work of transferring information from one form into a structured system, such as typing invoices into accounting software, adding leads to a CRM, keying survey responses into a spreadsheet or updating product records. It is measured on accuracy, speed and turnaround, and it is the foundation that reporting, billing and follow-up depend on.

How does data entry work?

  1. Define the source, the destination, the fields and the format rules for each, in a one-page instruction.
  2. Batch similar items, work from the source document on one screen and the system on the other, and enter in a fixed field order.
  3. Validate as you go: required fields, date formats, totals that must match and duplicates already in the system.
  4. Spot-check a sample of entries against the source each day, and log the error rate.
  5. Report volume, turnaround and errors weekly, and fix the source form when the same error keeps appearing.

A worked example

A regional insurance agency received about 200 paper and PDF applications a week that had to be keyed into its agency management system before quotes could be issued. Two producers were spending their afternoons typing. A data entry assistant took the queue with a written field guide, entered each application in the same order every time, and flagged any with missing signatures or unreadable dates back to the producer in a daily list. She checked 20 random entries against the originals each day. Turnaround dropped from three days to one, and the producers went back to selling.

Where does data entry show up in your tools?

Data entry targets include QuickBooks Online and Xero for invoices, HubSpot and Zoho CRM for contacts, Airtable and Google Sheets for lists, and Dentrix or Open Dental for patient records. Forms tools and OCR can pre-fill fields, but a person still checks the result.

Common mistakes

  • Starting without a field guide, so two people enter the same information three different ways.
  • Measuring speed alone, which rewards fast typing and hides the errors that cost hours later.
  • Fixing bad entries one at a time instead of fixing the form or process that keeps producing them.
