What is delegation?

What is delegation? Delegation is handing a task, and the authority to finish it, to someone else while staying accountable for the outcome. It is more than giving instructions: it means agreeing the result, the deadline, the limits of the other person's discretion and how they will tell you the work is done.

How does delegation work?

  1. Pick the first task by frequency and clarity: anything you do weekly with a right answer goes first.
  2. Define the finished state in one sentence, so both of you recognize done the same way.
  3. Say what they may decide alone, what needs a check-in, and any spending or commitment limit.
  4. Hand over the tools, logins and worked examples at the same time as the task, not a week later.
  5. Watch the first three runs closely, then drop back to sampling once the pattern holds.

A worked example

A wedding photographer in Sheffield kept doing her own gallery delivery: culling, uploading, watermarking, writing the delivery email and chasing the review request. She handed over the last three steps first, with a written definition of done and a rule that any client complaint comes straight back to her. After two supervised runs the assistant was delivering galleries alone. She kept the culling, which is what clients hire her for, and got four shooting days back a month.

Where does delegation show up in your tools?

Handed-over work usually shows up as an assigned task with a due date in Asana, ClickUp, Trello or Notion, where the brief and the checklist sit on the same card. Google Workspace and Microsoft 365 handle the access side, and a short screen recording often beats a written brief for the first pass.

Common mistakes

  • Handing over the task but not the access, so the assistant sits waiting three days for a login.
  • Passing work on and then redoing it yourself, which teaches the assistant their version does not count.
  • Starting with the hardest judgment call instead of the weekly task that has a clear right answer.
