What is a standard operating procedure? A standard operating procedure is a written, step-by-step set of instructions for a recurring task, detailed enough that someone new can follow it and get the same result. A good one names the trigger, the tools, the exact steps, the decisions allowed and what to do when reality does not match.

How does a standard operating procedure work?

  1. Record yourself doing the task once, then write the steps from the recording rather than from memory.
  2. Number the steps and name the exact button, field or template, not the general idea behind it.
  3. State what the person may decide alone and what they must ask about before continuing.
  4. Include the edge cases you actually hit, because those are where a new person stalls.
  5. Have someone else follow it cold, then fix every place where they had to guess.

A worked example

A pediatric dental practice wrote one for its recall list: pull next month's due patients from the practice software every Monday, call in a set order, offer two appointment options, log the outcome with a code, and text anyone still unreachable after two attempts. Anything touching a treatment plan goes to the office manager. When the front desk coordinator left, her replacement was running the list unsupervised within a week instead of two months.

Where does a standard operating procedure show up in your tools?

Notion, Google Workspace and Confluence are the usual homes for the written steps, while a Loom or screen recording covers what is faster to show than describe. Recurring templates in Asana, ClickUp or Trello turn the same document into a checklist that gets ticked every time the task runs.

Common mistakes

  • Writing at the level of describe your process, which produces a document nobody can actually follow.
  • Storing them where the person doing the work has no access, usually a folder only managers can open.
  • Never updating after a tool changes, so half the steps point at buttons that no longer exist.
