What is a no-show rate?

What is a no-show rate? A no-show rate is the share of booked appointments where the customer or patient does not arrive and does not cancel in time, usually measured per month. Divide no-shows by total scheduled appointments. Practices track it by provider, by day of the week and by appointment type, because the causes differ across each.

How does a no-show rate work?

  1. Agree what counts: a late cancellation inside the notice window is usually recorded separately from a true no-show.
  2. Pull the count from the scheduling system each month rather than from anyone's impression of a bad week.
  3. Break it down by appointment type, since a first visit and a routine review rarely fail at the same rate.
  4. Attach a reminder sequence to each booking and record whether the reminder was delivered and answered.
  5. Call the highest-risk bookings personally, such as first visits, long appointments and anyone who missed before.

A worked example

A physical therapy clinic in Ohio was losing about 14 slots a week. A scheduling assistant added a three-step reminder: a text at booking, a text two days out with a reply option, and a live call the afternoon before for first visits and hour-long sessions. Patients who replied to cancel were offered the next opening immediately, and the freed slots went to a short waitlist. Missed slots fell noticeably within two months and the waitlist filled most of the rest.

Where does a no-show rate show up in your tools?

Common mistakes

  • Counting late cancellations as no-shows, which hides whether the problem is forgetting or changing plans.
  • Sending reminders with no reply option, so a patient who cannot attend has no easy way to free the slot.
  • Tracking one clinic-wide number and missing that a single provider or a single day carries most of the loss.

Why does a no-show rate matter?

An empty chair is revenue that cannot be recovered later, and for a small practice a handful of missed slots a week is a meaningful share of the month.
