What is offboarding?

What is offboarding? Offboarding is the controlled process of ending someone's access and handing their work over when a role or an engagement finishes. It covers revoking logins, transferring files and ownership, capturing anything undocumented, briefing whoever takes over, and confirming that confidentiality obligations continue after the final day.

How does offboarding work?

  1. List every system the person could reach, including the ones granted later and quietly forgotten.
  2. Revoke on the agreed date, then verify it, because a disabled account is not always a removed one.
  3. Transfer ownership of files, calendars, recordings and shared folders before any account is closed.
  4. Capture what exists only in their head: work in flight, informal contacts, the half-written procedure.
  5. Confirm in writing that the confidentiality agreement continues and that no local copies were kept.

A worked example

A marketing agency ended one client contract and removed the assistant from that account in a day. Access to the client's ad platforms, drive and scheduling tool was revoked and then checked. Draft content and the reporting template moved into the client's own folder. The assistant wrote a one-page handover covering three campaigns in flight and who approves what. The client kept every procedure written during the engagement and lost no work in the switch.

Where does offboarding show up in your tools?

Google Workspace and Microsoft 365 both have a leaver flow that suspends the account, transfers drive ownership and forwards mail. The other half is a list you keep yourself, because access granted directly inside Zendesk, HubSpot, Shopify or a phone system is easy to miss once the main account closes.
