What is automation?

What is automation? Automation is having software carry out a repetitive step so a person does not repeat it: creating a task when a form is submitted, sending a reminder two days before an appointment, copying a new order into a spreadsheet. It takes the predictable steps so people keep the ones needing judgment.

How does automation work?

  1. Map the task by hand first and write down every step, including the exceptions people handle silently.
  2. Automate the dull middle, the copying and the notifying, and leave decisions with a person.
  3. Build one step at a time and watch it run on real records before adding the next.
  4. Include a failure alert, because a silent rule that has stopped running is worse than no rule at all.
  5. Review quarterly, since tools rename fields and a rule pointing at a renamed field breaks without a sound.

A worked example

A tutoring company was retyping every booking from its form into a spreadsheet, a calendar and a welcome email. The assistant connected the form so one submission creates the calendar event, adds the row and sends the welcome message with the tutor's name filled in. Anything flagged as a special learning requirement goes to the owner instead of confirming itself. Roughly forty minutes a day disappeared, and every case needing a human decision still reaches one.
