Delegation audit: what to hand off first
This free delegation audit shows what to delegate to a virtual assistant first: tick the tasks you do every week from a list of twenty across seven desks, and the audit totals the hours you could hand off, names the desk with the biggest share and suggests where to start. Estimates are for orientation, not an AssistBPO price. Plans depend on hours, desks and coverage.

What to hand off first
- Tick the tasks you do every week to see what to hand off first.
How does the audit work?
Each task carries a typical weekly time for a small business owner or manager, from one hour for travel booking to nearly seven hours for a busy phone. The audit adds the ticked tasks, groups them by desk and ranks the desks. The suggested start follows the hours: under 12 a week points to a part-time assistant or a shared desk, 12 to 32 to a part-time dedicated assistant, and above 32 to a full-time one.
What is it based on?
- Typical weekly minutes per task are operational rules of thumb from the group's onboarding calls since 2020, not published statistics; your own log will be more accurate.
- Admin and marketing tasks make up more than 62 percent of virtual assistant workloads and administrative assistants hold about 31.5 percent of the market (Wishup 2026 Industry Report).
- The audit assumes one person; a team that shares these tasks should run it per person and add the results.
- Grouping follows the seven AssistBPO desks; the four coverage desks (after-hours, dispatch, clinic front desk, 24/7) are not separately scored.
What should you do with your result?
Copy the list into the staffing plan form or bring it to the 20-minute call. The desk with the biggest share is usually the right first hire; the second desk can be added after the first weekly reviews. For a fuller list, the 60-task delegation audit guide walks through every desk with examples.
Frequently asked questions
What does it cost to hand these off?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. The audit's hours a week are the main input; the plan adds whether phones are involved, the coverage zone and whether one assistant or a pod fits.
Should I hand off everything I ticked?
Start with the biggest desk and the tasks that repeat daily. Tasks that need your judgement stay with you; tasks that need your time do not. The weekly review is where the list grows.
Why are the phone tasks weighted so heavily?
Because answering a business phone interrupts everything else, and the time lost is not just the call but the restart. Most owners under-count it until they see a week of call logs.
Can one assistant cover tasks from several desks?
Within reason. A receptionist can do admin between calls; an executive assistant can pull reports. Across three or more desks, a pod with specialists and a lead is usually the better fit, and the plan says which.
Is this the same as the 60-task audit in the guide?
It is the short version. The guide lists sixty tasks with examples per desk and a template you can copy; this tool scores twenty of the most common ones so you get a number in a minute.
