What is a real estate ISA?

A real estate inside sales agent, or ISA, works a team's leads by phone, text and email so the listing agents can stay in appointments. Who is the real estate ISA desk for?

Teams buying portal and paid leads
Zillow, Realtor.com and paid social leads cost money whether or not anyone calls them. An ISA calls every one inside your speed-to-lead target.
Solo agents who cannot answer while showing
Leads that arrive during a showing get a call within minutes instead of a voicemail three hours later.
Brokerages running a database revival
Past clients, old inquiries and sphere contacts worked on a written cadence, with consent checked before the first dial.
New-build and property management teams
Inquiry qualification, tour booking and waitlist follow-up handled in one desk, with the CRM kept current.

Deliverables and KPIs

AssistBPO reports 6 measures on the real estate ISA desk: what lands on your desk, what we count, and how often you see the number.

KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.

How does the real estate ISA desk work?

  1. Match

A 20-minute discovery call on your lead sources and monthly volume, your speed-to-lead target, what a qualified appointment means for buyers and for sellers, which agent takes which area and whether you run Follow Up Boss, kvCORE or something else. Within 72 hours we propose a named ISA with real estate experience, plus a trained backup.

  2. Onboard

We write the buyer and seller scripts with you, set the qualification questions and the appointment standard, connect the dialer and texting to your CRM, map lead routing and agent calendars by area and load your suppression list. Recorded practice calls are signed off by the team lead before the ISA touches a live lead.

  3. Daily rhythm

New leads come first: call, text and email inside the speed-to-lead target, then a second attempt the same day. Between new leads the ISA works today's nurture list, confirms tomorrow's appointments and rebooks no-shows. The end-of-day report shows leads worked, conversations, appointments set and any lead an agent should call personally.

  4. Weekly review

20 minutes with the team lead and your team leader: speed to lead by source, contact and set rates, appointments held, which portal is producing and which is not, and the script changes to test next week. Monthly, the team lead scores call recordings on qualification quality, compliance and tone.

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. The rate card carries the other currencies, the add-ons and the six things that move a plan off it.

How much does a real estate ISA cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

What moves the plan

  1. Hours a week and whether the desk is dedicated or shared
  2. Phones: live answering needs a receptionist profile and a backup
  3. Coverage zone: business hours, after-hours, weekends or 24/7
  4. Tools and access to set up
  5. One person or a pod with a lead

Real Estate Team Doubles Appointments with an ISA

A six-agent residential team in the US Southwest was buying portal leads every month and working them whenever showings allowed. Speed to lead depended on who was between appointments, which meant the best inquiries were often called hours later, if at all. The database of past clients and old inquiries had not been touched in a year. AssistBPO placed a named inside sales agent on the team, employed by the group, with a trained backup and a team lead, working in the team's own Follow Up Boss account and calling in local market hours including evenings. New leads are now called within minutes, qualified on timeline, price and motivation, and booked into the right agent's calendar by area. Between new leads the ISA works a written revival cadence on the old database.

Security and compliance

  1. Employed, background-checked ISAs under NDA; never freelancers calling your leads
  2. Lead data, recordings and notes stay in Follow Up Boss, kvCORE or your CRM, never exported locally
  3. Managed devices with MFA and a softphone only; no personal phones and no personal numbers
  4. Consent and do-not-call status checked and logged before every call, text or email
  5. Deposit, card and bank details are never taken by an ISA; those go to your agent or title partner

Country rules for this service

AssistBPO makes outbound calls, texts and emails only with lawful consent and do-not-call scrubbing. Assistants never take card numbers. Country rules.

  • US: TCPA consent for lead follow-up calls and texts, 8am to 9pm local calling hours, National Do Not Call Registry and suppression scrubbing, mini-TCPA rules in Florida, Oklahoma and Washington, recording notices in two-party consent states
  • US real estate: the ISA is not a licensed agent and gives no advice on value, offers or contracts; licensed work is handed to your agent and fair housing language is written into the scripts
  • Canada, UK and Australia: CASL express or implied consent with National DNCL scrubbing, PECR with TPS and CTPS screening, and Do Not Call Register washing before Australian lead campaigns

Frequently asked questions

How much do real estate ISA services cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For context, 2026 cost guides put managed remote sales support at $7 to $15 an hour and $640 to $2,400 a month full time, against $4,700 to $9,100 a month for a full-time in-house assistant once benefits are loaded (Wishup, Cherry Assistant, Marblism). AssistBPO prices per named ISA for a block of hours, not per appointment or on a commission split.

How fast do you call a new lead?

We set a speed-to-lead target in onboarding, usually measured in single-digit minutes during staffed hours, and report against it every day. The ISA calls first, then texts and emails if there is no answer, then makes a second attempt the same day. Portal leads that arrive outside staffed hours are queued for the first minutes of the next shift, and evening or weekend cover closes that gap.

Do you work in Follow Up Boss and kvCORE?

Yes, they are the two systems our real estate desk uses most. The ISA works inside a user seat you create, with the permissions you choose, using your smart lists, action plans, lead routing and calendar links. Boomtown, Sierra Interactive, Chime and GoHighLevel setups are also common. Whatever you run, the ISA logs every call, text and email against the lead so your reporting stays honest.

How do you stay compliant calling leads?

TCPA governs lead follow-up in the US: calls and texts go out with lawful consent, within 8am to 9pm in the lead's local time, after do-not-call scrubbing against the National Registry and your own suppression list, with no autodialer to a cell without consent and mini-TCPA rules in Florida, Oklahoma and Washington respected. Recording notices follow state rules. Canadian, UK and Australian leads follow CASL, PECR with TPS screening and the Do Not Call Register.

What counts as a qualified appointment?

Whatever you write down in onboarding. Most teams use timeline, price range, area, financing status for buyers and motivation, timeline, mortgage position and price expectation for sellers, plus a rule about whether the lead already has an agent. The ISA records the answers on the lead. The weekly review compares appointments set with appointments your agents agreed were qualified, so the standard holds.

Can the ISA revive our old database?

Yes, and it is often the cheapest source in the account. Past clients, expired inquiries and sphere contacts are checked for consent, scrubbed against do-not-call registers and worked on a written cadence with a reason for the call rather than a check-in. Results are reported separately from new leads, so you can see what the database produced next to what the portals produced.

Is the ISA licensed to give advice on a property?

No, and they will not pretend otherwise. An ISA qualifies, nurtures and books. Anything that needs a licensed agent, such as advice on value, offers, contracts or disclosures, goes to your agent, and the script says so plainly. The ISA introduces themselves as part of your team, states they are not the licensed agent when asked, and hands over cleanly with notes.

What happens to no-shows?

A confirmation goes out when the appointment is booked and a reminder the day before, with a second reminder on the morning where consent allows. If the lead does not show, the ISA calls and texts within the hour to rebook. Held rate is on the weekly review by source and by agent, and a low held rate usually means the qualification questions need tightening rather than more reminders.

How quickly can an ISA start?

Discovery to a named ISA proposal is 72 hours. Scripts, qualification standards, CRM seats, lead routing, calendar mapping and practice calls take the first week, with the team lead signing off before any live lead is touched. Live calling starts in week two. Most teams see appointments in the first live week and a settled weekly rate by week four.
