Hire a remote customer success associate How we build a plan
How are remote customer success associates vetted?
5 gates, in order. A candidate who fails one does not reach the next.
- English and phone assessment
- Typing and tool tests
- Background check
- NDA and security onboarding
- Shadowing and QA scorecard
Candidates who clear all 5 gates are proposed to you by name within 72 hours.
Candidates take a recorded role-play of six calls: a welcome call with a nervous new admin, a 90-day check-in where the customer has stopped logging in, a renewal conversation with a customer questioning value, a customer angry about a bug, an expansion signal to hand to sales, and a voicemail. They also write a follow-up email after each. We score warmth, clarity, listening, accent fit for your market and whether the follow-up would move the customer to act.
Typing at 45 words a minute, then a practical in a HubSpot or Salesforce sandbox: log a call with next steps, update a health-score field, build a renewal task sequence, and pull a list of accounts with no login in 30 days. A product-learning test follows: 45 minutes with the help center of a tool they have never seen, then a five-minute walkthrough of one workflow on camera.
Identity, address, education and employment history verified by a third-party provider, with criminal record checks where lawful. References from previous customer-facing roles are asked specifically about retention conversations and how the candidate handled an account that was about to leave.
Group NDA and your confidentiality terms, then security onboarding: a named seat in your CRM and customer success tools with the permissions the role needs, MFA, managed devices, no customer lists exported outside your systems, no card data taken over the phone, and recording notices per state and country for check-in calls.
A week listening to a senior associate's calls and reading their notes, then a week running calls with the senior on the line and every follow-up reviewed before it goes. Once live on your accounts, the team lead scores a monthly sample of call recordings, CRM notes and renewal packs for accuracy, tone, next-step discipline and escalation timing, and you see the QA scorecard in the weekly review.
The full pipeline is on the how we hire and manage assistants page. Assistants are employees of the group, never freelancers, and you never co-employ them.

Frequently asked questions
How much does it cost to hire a remote customer success associate?
Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, PayScale puts the average US virtual assistant at $19.45 an hour and Indeed at $27.15 (via Wishup, 2026), US premium managed providers publish $65 to $79 an hour for specialist staff, Canadian assistants list C$25 to C$60 an hour, and a UK-based hire runs £3,000 to £5,000 a month against £900 to £2,000 offshore. A dedicated AssistBPO associate is one employed person for a block of hours each month, covering as many accounts as fit a sensible touchpoint calendar.
Is it the same person on our accounts every day?
Yes. One named associate owns a defined book of customers, learns their setups and their admins, and runs the touchpoint calendar for each. A backup associate reads the account notes weekly and covers leave using the same playbook and templates, so a customer whose check-in falls in a holiday week still gets it. A team lead reviews the at-risk list and renewal pipeline with you every week. All notes live in your CRM, so account history never walks out the door.
What hours will the associate work?
Your customers' hours. Check-in and onboarding calls are booked in the time zone of the customer, on a fixed shift in US, UK or Canadian hours from the group's two offices. Health-score reviews, renewal packs and follow-up emails can run before your morning so the at-risk list is on your desk when you log in. A 160-hour plan covers a full day, five days a week; an 80-hour plan suits a defined touchpoint calendar for a smaller book. AEST shifts are available on request.
How are customer success associates vetted?
Every associate passes a recorded six-call role-play with written follow-ups, a typing test and a CRM practical in HubSpot or Salesforce, a product-learning test on a tool they have never seen, a third-party background check with retention-focused references, an NDA with CRM-specific security onboarding, and two weeks of shadowing before running your accounts alone. After go-live the team lead scores a monthly sample of calls, notes and renewal packs on a QA scorecard, and anyone below standard is coached or replaced from within the team.
Is the associate an employee or a contractor?
An employee of the group. AssistBPO is a division of SS Support Network LLC, and the associate is salaried, managed staff with a manager, paid leave and a training path. We never place freelancers or contractors, and you never co-employ the person: there is no agreement between you and the individual, and no payroll on your side. You engage AssistBPO for a staffed success desk, and the backup and team lead are included in the arrangement.
Is this a customer success manager?
No, and the line matters. A customer success manager owns the relationship, the commercial conversation and the renewal signature. Your associate makes sure that person's book is worked every week: onboarding done, check-ins made, health scores read, renewal packs ready and expansion signals handed over with context. Many small SaaS and service companies find one associate lets a single CSM or founder handle far more accounts, because the calendar, the notes and the early warnings are already handled.
Can the associate make outbound check-in calls?
Yes. Check-in, onboarding and renewal calls go to existing customers who already have a relationship with you, and they are made with lawful consent and do-not-call scrubbing, with recording notices where required. The associate never cold-calls prospects; that is a separate sales desk. Call scripts, cadence and which accounts get a call versus an email are set with you during onboarding, and every call is logged in your CRM with the outcome and the next step.
Which tools do you work in?
HubSpot, Salesforce, Intercom and Zendesk are on our training tracks, with Calendly for booking, Zoom Phone or Dialpad for calls, Slack for internal hand-offs and Notion or Google Workspace for playbooks and reports. Dedicated customer success platforms such as Gainsight, ChurnZero, Vitally or Planhat are learned in onboarding from your setup. We work under a seat you control, so your data, your fields and your history stay yours, and the seat can be removed in a minute if needed.
